Job description

Our team is looking for an Event Assistant to help manage the moving pieces behind a busy schedule of in-person events and activities. This is a hands-on position for someone who likes staying organized, working with people, and being involved in the practical details that keep an event running on schedule.

You’ll work alongside the event team before and during events, helping with everything from advance preparation and venue coordination to attendee needs and last-minute adjustments on event day. Because no two events are exactly the same, the day-to-day workload will vary depending on the schedule.

The Role

Before an event, you may be confirming details, organizing supplies, preparing event documents, checking schedules, or making sure the team has everything needed for the day.

Once on-site, you’ll help keep activities moving according to plan. This can include directing attendees, answering questions, checking event areas, communicating updates to team members, replenishing materials, and handling small logistical issues as they come up.

After events, you’ll help organize materials, update records, collect relevant information, and make sure outstanding items are completed.

Typical Responsibilities
  • Review event plans and assist with pre-event preparation
  • Confirm event details, schedules, materials, and internal requirements
  • Organize supplies and ensure necessary materials are ready for each event
  • Assist the team with arrival and venue preparation
  • Help manage attendee flow and provide directions or information
