Job description

Role Purpose:
This position supports office functions by managing communications, coordinating resources, assisting with events, and serving as back-up to the Receptionist. Through effective organization, customer service, and attention to detail, this role helps maintain a professional and efficient workplace while supporting employees, visitors, and branch initiatives.
 

As an Administrative Assistant, you will:
•    Sort and distribute mail and faxes to the appropriate personnel.
•    Coordinate repair / service for office equipment.
•    Order literature / catalogs for the literature room.
•    Update employee telephone listings and lobby directory.
•    Order business cards, name tags, letterhead and forms.
•    Process both incoming and internal phone calls as well as page requests.
•    Greet and direct customers, vendors and visitors.
•    Document employee attendance of Vendor lunch and learns.
•    Assist in creating, implementing and revising procedures and work instructions.
•    Support the quality initiatives set forth by the region.
•    Generate memos, faxes and letters as required.
•    Assist with company events: Open Houses in conjunction with the Sales Manager, Holiday events, Lunches for internal training sessions.
•    Schedule branch meetings.
•    Assist other departments as required.


Desired Knowledge/Skills/Abilities Include:
•    High School diploma or equivalent required.
•    6 or more months’ administrative experience is preferred.
•    Intermediate PC skills with MS Office Products is required.
•    Proven communication skills, oral and written.
•    Ability to work with minimal supervision: organizing, prioritizing and completing tasks at own initiative.
