Job description

The Planet Group is seeking a Convention/Events Project Coordinator to join one of our well-known global pharmaceutical clients. 
  • Pay: $30-35.88/hr depending on experience (W2 and benefit options)
  • Duration: 6 mo to start 
  • Location: Hybrid in Mettawa, IL (T-TR onsite)
Convention/Events Project Coordinator Responsibilities:
  • Manage the department’s budget tracker system as it relates to vendors, maintaining the master calendar, shadowing team to support the documentation and execution of tactical processes
  • Administer financial responsibilities tied to conventions
  • Communicate with Convention Managers, vendors, and finance, requesting SOW’s, maintaining the Budget Tracker and master calendar
  • Work closely with finance and vendors to manage and resolve all financial related tasks
  • Partner up with finance and purchasing to close out any open invoices and/or resolve any disputes in a timely manner to avoid penalties
  • Manage and update the conventions master calendar with consequential changes
  • Maintain appropriate information, such as dates and locations for all the upcoming US conventions, and independently research to fill in the gaps
  • Update and consolidate the master calendar to drive efficiencies and improve overall appearance, so the information can be consumed easily
  • Shadow current Conventions Managers to documents processes and provide support for tactical items
  • Create documentation of key processes
  • Support specific tactical processes as needed (including but not limited to SEM/MRF (sponsorships routing), ACR, and Virtual Booth set-ups).
Convention/Events Project Coordinator Qualifications:
  • Bachelor’s Degree
  • Must have excellent communication skills with strong organizational and problem-solving aptitude to analyze and resolve operational tasks in a timely manner
  • Project managing experience a must
  • Convention Experience is a plus
  • Smartsheet Coding is a plus
