Job description


Position Overview
The Event Coordinator will assist within the performing arts venues with event planning and show management. This position oversees the logistics and execution of several Butler University signature events as well as special events for their assigned internal campus departments. Additionally, this position handles various external space rentals as assigned.
Responsibilities
  • Planning the execution of multiple Butler University events as well as day-of management.
  • Coordinating with various stakeholders (including event owners) from several campus departments as well as public safety, facilities and any other affected by the event.
  • Maintains close relationships with outside vendors involved in the event planning process.
  • Managing event budgets and contributing to the development of the department's annual budget process, including assisting operations with settlements.
  • Understanding and adhering to any compliance and regulations in relation to events. Contributing to the development and creation of standard operating procedures and other documents for managing and/or communicating event information.
  • Assisting with event management in performance venues.
  • Understand and implement all policies and procedures related to crowd and house management.
  • Other duties as assigned.

Required Qualifications
  • Bachelor's Degree
  • 1-2 years of event management experience
  • Experience with Microsoft Office suites

Preferred Qualifications
  • Experience with event management/set up software: Visio, CAD, Graphic Design
  • Experience with event booking software: EMS, Event Booking/Venue Ops,
