PeopleTec is seeking a highly organized, customer-focused Receptionist to provide administrative support to our corporate office and entire workforce in Huntsville, AL. This role is the first impression of PeopleTec, greeting visitors, managing our front desk, and keeping our office running smoothly.

We're looking for a flexible team player who thrives in a fast-paced environment, juggles multiple priorities with ease, and takes pride in supporting both daily operations and company events.

Salary: $15-$18/hour based on education and years of experience.

Duties include (but are not limited to):

    Front Desk & Visitor Management
    • Primary front desk coverage for the corporate office
    • Greet and assist visitors; maintain visitor logs and badges
    • Answer, screen, and forward incoming calls
    • Maintain professional appearance of reception, conference rooms, and other common areas
  • Administrative & Office Operations
    • Order and maintain inventory for corporate facilities
    • Coordinate shipping, mailing, and office supply purchasing
    • Assist with conference room scheduling and meeting support
    • Organize notes for Executive Staff Meetings
    • Send company-wide holiday reminders and communications
    • Provide responsive support to all 700+ PeopleTec employee-owners, assisting with a wide range of tasks to ensure smooth daily operations.
    • Provide social media assistance
  • Event & Program Support
    • Lead for Marine's Day, Certification Nation Day, Continuous Learning swag orders, and other morale initiatives
    • Track and coordinate company birthday morale
    • Manage all company donations and sponsorship requests
    • Coordinate lunches/refreshments for executive-level meetings
    • Assist in planning and executing company events; serve as backup to the event planner
  • General Support
    • Perform clerical duties (copying, filing, distributing correspondence)
    • Maintain a safe and secure office environment in accordance with FSO guidance
    • Provide accurate information to internal and external inquiries

Qualifications

Required Skills/Experience:

  • 1+ year in an administrative support role
  • 1+ year experience with Microsoft Outlook (calendar & email)
  • Proficiency in Microsoft Word, PowerPoint, and Excel
  • Excellent communication skills (oral & written)
  • Strong organizational, multitasking, and time-management skills
  • Ability to remain professional under pressure and in difficult situations
  • Willingness to work occasional non-standard hours for events
  • Ability to travel (15%+)
  • U.S. Citizenship required
  • Valid driver's license

Physical Job Requirements:

  • Must be able to lift/carry/push/pull 25 lbs.
  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer
  • Stamina to sit and to maintain attention to detail despite interruptions
  • Candidate may be expected to work varying hours to ensure successful operation of activities in the organization
