We are seeking an Event Planner to provide logistical and conference planning support for meetings in support of the United States (U.S.) Department of Transportation's (DOT) Federal Transit Administration (FTA). This is a part-time remote position with in-person participation in events in the Washington D.C. area required.

So, what will the Event Planner at Terrestris do?
As the Event Planner you will coordinate meeting and conference logistics, manage registrations, prepare event materials, support venue and vendor activities, track schedules, resolve logistical issues, and ensure successful event execution and documentation. This position is contingent upon contract award.
What does a typical day look like for the Event Planner?
You will:
  • Coordinate event logistics, schedules, and vendor activities to support successful meetings.
  • Prepare meeting materials, attendee packets, badges, and conference documentation.
  • Maintain registration records and communicate event details to participants.
  • Assist with venue selection, room setup, and hospitality arrangements.
  • Monitor event timelines and track completion of planning milestones.
  • Support audiovisual coordination and verify equipment readiness before events.

What qualifications do you look for?
You might be the professional we're looking for if you have:
  • Authorization to work in the United States permanently without sponsorship.
  • A minimum of an Associate's Degree of similar credential.
  • A minimum of (5) years of experience in event planning.
  • Ability to manage time and events effectively.
  • Ability to perform administrative duties such as preparing quality documents, reports and slides.
  • Experience coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance and minutes.
  • Must have Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents and briefings.
