Job description

Front Office Assistant

Reporting to the Office Manager, you will be providing front office oversight as well as exemplary support to our Houston office employees and visitors.

Key activities include:

  • Greet visitors in a professional and friendly manner
  • Answer and direct phone calls, take messages as necessary
  • Manage incoming and outgoing mail and packages daily
  • Validate parking for guests and assist with parking arrangements
  • Update the office security badge system and provide quarterly audits
  • General front lobby upkeep, resetting conference rooms after meetings
  • Submit timely Concur expense reports
  • Assist with processing office invoices
  • Ship letters and packages using FedEx, US Government Client, and UPS services
  • Act as liaison with appropriate building personnel to address office concerns, including work orders and parking management

Office Supplies and Inventory Management:

  • Monitor and restock kitchen supplies, including employee snacks and beverages
  • Manage inventory of office and kitchen supplies; place orders as needed

Event Planning:

  • Assist in planning and organizing company events, including holiday parties and employee gatherings Assist with setting up conference rooms and event spaces

Calendar Management:

  • Maintain and update calendars for office conference rooms and common areas
  • Schedule appointments and meetings as requested

Administrative Support:

  • Provide backup support to Executive Assistant and Office Manager as needed
  • Collaborate with team members to ensure smooth office operations
  • Keep track of all supply costs and maintain spreadsheets for cost comparisons
  • Handle highly confidential information with discernment
  • Update company-wide SharePoint to include upcoming events, employee spotlights, document uploads, and more
  • Create and distribute electronically quarterly employee newsletters
  • Assist with other duties, as assigned

Qualifications and Education Requirements High School Diploma or GED

Requirements:

  • Minimum one year of experience in a professional work environment required
  • Minimum 3 years of experience in office administration preferred
  • Demonstrated creativity in office events or social gatherings required
  • Intermediate ability with MS Office Suite applications, particularly Outlook email and calendaring, PowerPoint, Sharepoint and Excel
  • Strong spelling, punctuation, and grammar skills
  • Advanced attention to detail, organization, and interpersonal skills
  • The ability to multitask and support multiple leaders, tasks, and projects
  • The ability to keep information confidential
  • Ability and willingness to work in the headquarters office in City Centre, Houston, Texas Monday to Friday 8am โ€“ 5pm

Must have a valid driver's license and current state required minimum vehicle insurance coverage to drive onto Client and Company property.

Pay Range: The pay range for this position is $23.00 - $28.00 per hour; however, the pay offered may vary depending on job-related knowledge, skills, and experience. This pay information is being provided pursuant to applicable law and is based in part on market location.

Schedule: Onsite; Monday-Friday, 8 a.m. - 5 p.m
