Job description

The Event Coordinator supports the Atlanta Humane Society's mission by executing well-organized, mission-aligned events that foster community engagement, donor stewardship, and positive attendee experiences. This role is responsible for coordinating logistics, managing timelines, supporting vendors and volunteers, and contributing to smooth on-site execution across a diverse portfolio of events.
The ideal candidate is detail-oriented, adaptable, and collaborative, with the ability to manage multiple priorities in fast-paced environments while communicating clearly, following established processes, and escalating issues appropriately. This role is best suited for someone who takes ownership of their work, applies feedback, and is eager to grow their event planning skills within a mission-driven organization.
Duties & Responsibilities
Event Execution & Logistics
  • Coordinate and execute logistics for fundraising and community events, including registration, vendor coordination, timelines, and on-site support.
  • Support signature events by managing assigned components such as guest experience, vendor deliverables, volunteer coordination, and event-day logistics.
  • Execute community programs, sponsored adoption events, corporate engagements, and third-party events in alignment with organizational guidelines.
  • Maintain project plans, timelines, and run-of-show documents; proactively flag risks or capacity constraints.
  • Adapt to on-site changes while maintaining a high-quality attendee experience.
  • Identify and resolve routine event issues; escalate when needed and implement practical solutions.

Communication & Collaboration
  • Communicate timelines, logistics, and expectations clearly to vendors, volunteers, and internal teams.
  • Collaborate cross-functionally with Marketing, Development, Volunteer, and Operations teams.
  • Build and maintain positive relationships with vendors, sponsors, volunteers, and community partners.
  • Represent the Atlanta Humane Society professionally in donor-facing and community settings.
  • Actively incorporate feedback to improve coordination and execution.

Systems, Budgets & Reporting
  • Utilize event and CRM systems (e.g., Classy, Salesforce) for guest management, tracking, and reporting.
  • Track expenses and vendor deliverables; follow financial procedures and flag discrepancies.
  • Prepare post-event reports, data entry, surveys, and follow-up communications.
  • Apply learnings from post-event reviews to improve future performance.

Volunteer & Attendee Experience
  • Support volunteer onboarding and on-site coordination in partnership with the Volunteer Manager.
  • Ensure a welcoming, responsive experience for attendees and volunteers.
  • Uphold safety, financial, and organizational policies during all events.
  • Manage responsibilities independently while supporting overall team goals.

  • Bachelor's degree preferred.
  • 1-3 years of event coordination or related experience, preferably in nonprofit fundraising, hospitality, or community engagement.
  • Strong organizational and time-management skills with the ability to manage multiple deadlines simultaneously.
  • Clear written and verbal communication skills; responsive and professional in fast-paced environments.
  • Demonstrated ability to follow established processes, make sound decisions within guidelines, and escalate issues appropriately.
  • Proficiency with Microsoft Office; experience with CRM or event software preferred.
  • Professional, solutions-oriented demeanor with the ability to remain calm under pressure.
  • Comfort working around animals in shelter and event environments.
  • Valid Georgia driver's license in good standing or ability to obtain one.
  • Availability to work evenings, weekends, and extended hours as required by event schedules.

Working Conditions
  • Work is performed in both office and off-site event environments.
  • Frequent standing, walking, bending, and lifting during events.
