Job description

As Garces, Grabler & LeBrocq (GGL) continues to grow its footprint of sponsorships, activations, and community partnerships, the Bilingual Events & Marketing Assistant will own the hands-on execution of every event, activation, gifting drop, and merchandise touchpoint the firm runs. Successful candidates will be the person on the ground making sure every appearance, table, and gifting cycle runs on time, on brand, and fully stocked. You will also serve as a flexible resource for miscellaneous marketing tasks as they arise, supporting the department at large.
This is a full-time position exempt position. Some nights and weekend availability is required. In-office seat can be in either New Brunswick or Plainfield, NJ.
Key Responsibilities
Event & Activation Execution
  • Plan and execute all firm events, sponsorship activations, and community appearances, including venue logistics, timing, staffing, materials, and setup/breakdown.
  • Build and maintain a shared events calendar.
  • Ensure firm partners and internal stakeholders are notified of all appearances well in advance.
  • Represent the firm solo at smaller partner activations (e.g., Eric "Nighttime" Nolan, Dante Rivera BJJ Academy)
  • Support and be present at larger partner activations led by the Marketing Coordinator (Giants, Rutgers, CFFC).
  • Capture leads generated on-site at events and activations and hand them off to the New Client Team.
  • Capture client testimonials, photo, and video content at events and activations, with signed releases.

Merchandise & Gifting
  • Manage merchandise inventory, ordering, and fulfillment through GGL Shops.
  • Ensure merchandise is stocked and present at every activation and table appearance.
  • Run the firm's gifting programs (client, referral, and partner gifts) - sourcing, budget tracking, and fulfillment calendar.

General Marketing Support
  • Serve as a flexible, cross-functional resource for the department on miscellaneous tasks as they arise.
  • Assist with Spanish-language materials, translations, and community outreach for Spanish ground campaigns and Spanish social media as needed.
  • Provide backup support on campaign execution, content, or vendor coordination during high-volume periods.
  • Track budgets and submit invoices tied to events, merchandise, and gifting programs.
  • Report monthly on spend versus plan and event/activation outcomes to the Marketing Coordinator and CMO.

Qualifications
  • 1-2 years of experience in event coordination, marketing, hospitality, or a related field.
  • Bilingual (English/Spanish) required - able to communicate fluently and confidently in both written and verbal form.
  • Comfortable representing the firm independently at smaller public-facing events.
  • Strong organizational skills; able to manage multiple events, vendors, deadlines, and ad hoc requests simultaneously.
  • Comfortable with data tracking and reporting (event spend, merchandise inventory, KPIs) in spreadsheets or CRM tools.
  • Valid driver's license and ability to travel locally to event sites, with some evening/weekend availability required.
  • Detail-oriented with strong follow-through on logistics, inventory, lead tracking, and budget tracking.
  • Team player who works well with internal and external stakeholders or vendors, and is comfortable shifting priorities as needs arise.
