Position Summary

The Office Manager ensures the efficient operation of our office by managing supplies, maintaining inventory, and providing administrative support to the HR Manager. This role requires exceptional organizational abilities, excellent communication skills, and a proactive approach to anticipating and addressing the needs of the office.

The Office Manager may also assist other team members with administrative tasks as assigned to support overall office functionality. In doing so, the Office Manager is required to solve routine office-related problems independently and with good judgment, as well as perform tasks that are diverse and essential to daily operations.

Essential Duties and Responsibilities

  • Manages inventory and ordering of office, kitchen, and bathroom supplies to maintain adequate stock levels
  • Makes sure employee applications are always stocked and displayed in the front lobby
  • Coordinates with vendors for office-related services and deliveries, ensuring timely and accurate fulfillment
  • Assists the HR Manager with administrative tasks and special projects as needed
  • Handles incoming mail and deliveries, ensuring proper distribution and tracking
  • Serves as a point of contact for staff regarding office-related needs and inquiries, providing timely resolution
  • Exercises sound judgment and problem-solving skills to independently resolve office-
  • Provides auxiliary/backup support to other administrative personnel when necessary
  • Ensures cleanliness and organization of office common areas, coordinating with cleaning services as needed
  • Monitors and maintains lobby presentation, ensuring a professional and welcoming environment for visitors
  • Performs other incidental duties to support office operations, including general clerical tasks, event coordination as assigned

Required Qualifications

  • High school diploma or equivalent
  • Minimum of two (2) years of experience in office management or administrative support role
  • Proficiency in Microsoft Office programs: Excel, Word, Outlook; ability to learn new software quickly
  • Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment
  • Excellent verbal and written communication skills, with a professional demeanor and strong interpersonal abilities
  • Proven ability to handle confidential information with discretion and integrity
  • Proactive problem-solving skills and the ability to work independently with minimal supervision
