Event Manager Contract information

What is an event manager contract?

An Event Manager Contract is a formal agreement between an event manager and a client that outlines the terms and conditions for planning, organizing, and executing an event. This contract typically details the scope of services, payment terms, timeline, cancellation policies, and other important responsibilities for both parties. Having a contract helps protect the interests of both the event manager and the client by clarifying expectations and minimizing misunderstandings. It is a crucial document for ensuring a smooth and professional working relationship throughout the event planning process.

What are the key skills and qualifications needed to thrive as an event manager contract, and why are they important?

To thrive as an Event Manager (Contract), you need strong organizational skills, attention to detail, and experience in event planning, often supported by a degree in hospitality, marketing, or a related field. Familiarity with event management software (like Cvent or Eventbrite), budgeting tools, and vendor management systems is typically required. Exceptional communication, problem-solving, and negotiation skills help you coordinate with clients, vendors, and teams under tight deadlines. These abilities ensure seamless execution of events, client satisfaction, and the ability to handle unexpected challenges efficiently.

What are some common challenges faced by contract event managers, and how can they be effectively addressed?

Contract Event Managers often face challenges such as rapidly adapting to new client expectations, managing tight deadlines, and coordinating with unfamiliar vendors or venues. Success in this role requires strong organizational skills, clear communication, and the ability to quickly build rapport with new teams. Proactive planning, setting clear milestones, and maintaining a detailed checklist can help mitigate last-minute issues and ensure all stakeholders are aligned throughout the event planning process.

What is the difference between Event Manager Contract vs Event Coordinator?

We’re Assemble—a company built to serve the many business leaders that struggle to make important decisions with certainty. We help enterprise leaders cut through the noise with trusted peer insights that bridge the gap between data overload and decision-making clarity. Our work has real impact, and our team is made up of smart, driven people who genuinely care about doing great work together.

Our unique approach leverages peer intelligence—a one-of-a-kind advantage created by convening the right people around the right questions—enabling leaders from top global companies to engage in meaningful discussions and gain actionable insights across diverse industries. This role is based at our Toronto HQ, right in the heart of downtown. We move fast, think big, and work hard—but we also have a lot of fun doing it. The energy in our office reflects our culture: ambitious, collaborative, and full of momentum. Whether we’re solving complex challenges, celebrating wins, or sharing a laugh, we show up because we want to—not because we have to. Learn more at www.theassemble.com.

How You’ll Contribute

You'll be at the front line of our events—bringing senior decision-makers, sponsors, and delegates together to create powerful, peer-driven experiences from planning through execution.

The Event Manager will own the full lifecycle of assigned events, serving as the main point of contact and final decision-maker for cross-departmental input on their respective events. This will require close collaboration with our Customer Success team, Event Operations team, and other departments to ensure every detail—from attendee data and budgets to onsite logistics—comes together seamlessly.

This role is both strategic and hands-on, with a strong focus on client relationships and operational excellence across the full event cycle. You'll travel onsite to lead setup, registration, conference room operations, 1-2-1 meeting scheduling, and teardown, while keeping databases and event websites accurate and up to date.

You will play a critical role in maintaining strong client relationships, running event kickoffs, health checks and debriefs, and identifying opportunities to improve processes and outcomes across events. You'll also support the Chief Product and Strategy Officer with performance management, mentoring, and the onboarding of new team members—helping foster a collaborative, high-performing team culture.

In This Role, You Will:

  • Own the end-to-end delivery of assigned events, serving as the main point of contact and final decision-maker for cross-departmental input and requests
  • Travel onsite to lead all aspects of event execution, including setup, registration, conference room operations, 1-2-1 meeting scheduling, drinks receptions, and teardown
  • Build and maintain strong relationships with clients, ensuring their needs are understood and met throughout the event lifecycle
  • Conduct event kickoffs, health checks and regular check in meetings with all relevant departments during the run-up to each event, and lead the post-event debrief
  • Maintain accurate attendee data across databases and event websites, and assist with tracking and managing event budgets
  • Oversee the work of the Events team, providing clear direction and support across respective events
  • Mentor and train new hires, and support the onboarding of new team members
  • Partner with the CPSO on performance management and team member responsibilities
  • Review current processes and identify alternative solutions to problems, weighing both cost and benefit
  • Stay current on industry trends, market activity, and the competitive landscape to inform event strategy
  • Collaborate cross-functionally with other departments to ensure seamless event execution and success

What Sets You Up for Success
This role requires someone who can step in and start executing immediately — we have events that needs hands-on leadership from day one, so we're looking for a proven operator who's ready to hit the ground running.

You'll thrive in this role if you bring:

  • 3-5+ years of experience in event management, ideally within a conference, membership, or sponsorship-driven environment
  • Strong operational mindset with experience improving processes, managing multiple events, budgets, and timelines simultaneously
  • Proven experience leading and scaling high-performing teams, including remote or distributed teams
  • Ability to juggle competing priorities under tight deadlines, while keeping stakeholders and cross-functional partners informed on progress
  • Proven experience traveling onsite and leading all aspects of event execution, from setup through teardown
  • Experience overseeing or mentoring junior team members, with the ability to provide clear direction and support
  • Experience working across membership, events, or sponsorship-driven environments is a strong asset

Why You’ll Love Working Here

We work hard, grow fast, and celebrate the wins along the way. At Assemble, you’ll be part of a collaborative team that values progress, people, and purpose. Here’s what you can expect:

  • A competitive compensation package
  • A hybrid work model that blends time in our downtown Toronto Office with the flexibility of working from home (2 days in Office)
  • A Flexible Paid Time Off Policy, 12 paid company holidays, and Summer Hours to help you recharge
  • Occasional opportunities to travel and experience our events in person
  • Real room to grow your career in a high-growth environment where your contributions matter

Excited about this role, but don't meet 100% of the expected qualifications listed above? We'd still love for you to apply!

The Company is committed to building a diverse and inclusive workforce where unique experiences are valued, and everyone has the opportunity to contribute. Research has continuously shown that women and people of colour are less likely to apply to jobs unless they meet all of the listed qualifications. We want to help overcome this trend and seek to make space for unique and relevant skills and attributes. So, when applying to the Company, rest assured that your application is reviewed by a living, breathing human being and evaluated based on key competencies needed for success in the position. Our Recruiting team maintains awareness of all open roles which means your application may be assessed against multiple positions and we will reach out to gauge your interest in other opportunities as appropriate.
