Job description

Event Coordinator job in San Diego, CA LHH has partnered with a non-profit who is seeking a motivated and detail-oriented Event Coordinator to join our team and support their mission. The Office and Event Coordinator will provide administrative and logistical support to ensure the smooth operation of the office and events. This role is crucial in coordinating volunteers, managing event logistics, and maintaining accurate records. Key Responsibilities:
  • Provide administrative and logistical support and event coordination.
  • Schedule and coordinate volunteers, serving as their main point of contact and ensuring they are supported throughout each event.
  • Coordinate with exhibitors to ensure all required forms and materials are completed and submitted.
  • Collaborate with internal teams, vendors, and exhibitors to ensure all event details are executed seamlessly.
  • Assist with event setup, including technology readiness, signage, and onsite logistics.
  • Troubleshoot day-of-event issues related to technology, exhibitor needs, or volunteer coordination to ensure a smooth experience.
  • Support speakers and panelists by confirming logistics, materials, and technical requirements are in place.
  • Maintain clear and professional communication between internal teams, volunteers, exhibitors, and external vendors.
  • Track attendance, contact information, and volunteer data, ensuring all records are accurate and up to date.
Qualifications:
  • Previous experience in administrative or event support roles.
  • Previous experience preferred in a non-profit setting and working with volunteers.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event management software.
