REAL ESTATE MARKETING & OPERATIONS ASSISTANT

Bellingham, WA | Part-Time — 20 Hours/Week | $25–$32/hour DOE + Performance Bonuses

About the Position

We are looking for an exceptionally organized, proactive, creative, and detail-oriented Marketing & Operations Assistant to support a busy, high-producing real estate business.

This is a 20-hour-per-week part-time position combining real estate marketing, social media, graphic design, photo/video editing, CRM management, listing coordination, client support, and day-to-day organization.

The ideal candidate is someone who loves real estate, design, marketing, and organization — and who can confidently manage multiple projects and deadlines without constant direction.

This is not simply a social media position. We are looking for someone who can become an integral part of the business and help keep the marketing, listings, CRM, and daily operations running smoothly.

What You'll Do

Marketing & Social Media

  • Create and schedule content for Instagram, Facebook, and other social platforms
  • Help develop creative content ideas, reels, stories, and posts
  • Edit photos and short-form videos for social media
  • Create compelling content around listings, sales, market activity, and the business
  • Maintain a social media content calendar
  • Stay current on social media trends and identify opportunities for content
  • Assist with email marketing and client communications
  • Help maintain a consistent, elevated brand image

Canva & Graphic Design

  • Create listing flyers, feature sheets, postcards, social media graphics, presentations, and other marketing materials
  • Create graphics for new listings, open houses, price changes, pending sales, and closings
  • Update and maintain Canva templates
  • Prepare print and digital marketing materials
  • Ensure all materials are accurate, polished, professional, and on-brand

Photo & Video

  • Organize listing photography and video files
  • Perform basic photo editing, including cropping, straightening, brightness, color, and formatting
  • Select the strongest images for marketing
  • Prepare photos for MLS, websites, social media, and print
  • Edit short-form video and reels
  • Coordinate with photographers and videographers as needed

Listing & Real Estate Support

  • Help coordinate the marketing launch of new listings
  • Maintain detailed listing checklists and timelines
  • Coordinate photography, video, floor plans, signs, brochures, and other marketing pieces
  • Prepare materials for open houses and broker events
  • Track important listing dates, deadlines, price changes, and marketing activities
  • Help organize listing information and digital property files
  • Assist with client presentations and listing appointments
  • Coordinate with stagers, photographers, videographers, printers, contractors, and other vendors

CRM & Lead Management

CRM experience is required.

  • Work confidently within a CRM and learn new systems quickly
  • Maintain accurate and organized client and contact records
  • Enter and update leads, contacts, notes, and client information
  • Track leads and follow-up activities
  • Manage follow-up reminders and tasks
  • Help ensure no leads or opportunities fall through the cracks
  • Maintain an organized database of clients, prospects, vendors, and professional contacts
  • Assist with email campaigns and client touchpoints
  • Help maintain and improve CRM systems and workflows

Organization & Operations

This is one of the most important parts of the position.

We are looking for someone who is VERY organized and naturally enjoys systems, lists, calendars, deadlines, and keeping things moving.

You will:

  • Manage marketing calendars and project timelines
  • Keep track of deadlines and upcoming tasks
  • Maintain highly organized digital files and folders
  • Create and maintain checklists
  • Follow up on outstanding items
  • Help coordinate schedules and logistics
  • Keep track of signs, lockboxes, marketing materials, and supplies
  • Prepare for client meetings, listing appointments, open houses, and events
  • Anticipate what needs to happen next rather than waiting to be asked
  • Make sure details don't fall through the cracks

Schedule

20 hours per week

The schedule can be discussed based on business needs and the candidate's availability. Some flexibility may be needed around listing launches, open houses, client events, and important deadlines.

Software & Technology

Experience with the following is preferred:

  • CRM systems
  • Canva — required
  • Instagram / Facebook-required
  • CapCut or similar video editing software
  • Google Workspace / Google Drive
  • Microsoft Office
  • MLS systems
  • Email marketing platforms
  • Photo editing software
  • AI tools and emerging marketing technology

Experience with Follow Up Boss, Salesforce, HubSpot, Lofty, kvCORE, or another real estate CRM is a plus.

Compensation

$25–$32/hour, depending on experience and skill level

In addition to hourly compensation, this position may be eligible for performance-based bonuses tied to business growth and closed transactions.

Potential bonus structure may include:

  • Bonuses for qualifying closed transactions the assistant substantially supported
  • Additional bonuses based on annual sales volume or business goals
  • Annual performance bonus based on overall contribution to the business

The goal is to create a compensation structure where the assistant's earning potential can grow as the business grows.

Experience

Real estate experience is preferred but not required.

Experience in marketing, social media, graphic design, administrative support, hospitality, event planning, project management, or client service is valuable.

The most important qualities are organization, initiative, creativity, attention to detail, technology skills, and follow-through.

The Right Person

You are the person who sees that a listing is launching next week and has already created the checklist, confirmed the photographer, started the Canva materials, organized the photos, updated the CRM, and knows what needs to happen next.

You don't need to be micromanaged.

You see what needs to be done and do it.
