EXECUTIVE ASSISTANT (CONFIDENTIAL)
Office of the Staff Judge Advocate (55 WG/JA) — Offutt AFB, NE

Position Summary
Bailey Information Technology, LLC (BIT, LLC) is seeking a detail-oriented, discreet, and highly organized Executive Assistant to provide confidential administrative and clerical support to senior leadership at the 55th Wing Office of the Staff Judge Advocate (55 WG/JA), Offutt AFB, Nebraska. This is a full-time, on-site position supporting a legal office environment where professionalism, confidentiality, and sound judgment are essential every day.
The Executive Assistant will serve as a primary point of contact between office leadership and external agencies, manage calendars and correspondence, prepare reports and briefing materials, and handle sensitive personnel and legal-adjacent documentation with the highest degree of discretion.
Location & Schedule
Work Location: Offutt AFB, Nebraska 68113 (100% on-site; no remote work)
Schedule: Monday–Friday, 7:30 AM – 4:30 PM, excluding federal holidays
Telework: Ad-hoc/situational telework only, at Government discretion, using Government-furnished equipment — not guaranteed
Employment Type: Full-time, non-personal services contract position
Dress Code: Business casual required (denim, t-shirts, hoodies, ball caps, shorts, tennis shoes, and sandals are not permitted)
Required Qualifications
  • Associate's Degree in any field
  • Minimum of one (1) year of experience in clerical or data entry work, obtained in an office setting
  • Minimum of one (1) year of experience working in a military environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Ability to read, understand, speak, and write English fluently to communicate effectively with customers and staff, in person and by telephone
  • Must be a U.S. Citizen
  • Must be able to obtain and maintain a favorable federal background investigation and Common Access Card (CAC) as a condition of employment
Preferred Qualifications
  • Bachelor's Degree in business administration, legal studies, or a related field
  • Prior administrative experience in a legal office, Judge Advocate General (JAG), or law firm environment
  • Experience supporting senior military leadership or executive-level staff
  • Familiarity with military correspondence formats, protocol, and Air Force administrative procedures
  • Notary Public certification
  • Prior CAC holder or active/current federal background investigation (may reduce onboarding lead time)
  • Experience handling sensitive, privileged, or legally sensitive documentation
  • Strong typing, transcription, and proofreading skills
  • Prior experience working on a military installation
Core Duties & Responsibilities
  • Apply administrative principles, concepts, and practices to support day-to-day operations of the Office of the Staff Judge Advocate
  • Produce a variety of documents — emails, letters, reports, spreadsheets, and presentations — using Outlook, Excel, PowerPoint, Word, and Teams
  • Apply knowledge of administrative information management practices, office procedures, and military protocol guidelines
  • Maintain confidentiality regarding sensitive, strategic, and personal information with absolute discretion at all times
  • Serve as the primary point of contact between office leadership and external agencies
  • Track deadlines, deliverables, and other time-sensitive matters requiring timely completion
  • Manage calendars, scheduling, and meeting/conference coordination
  • Prepare, edit, and maintain correspondence, documents, reports, presentations, and briefing materials
  • Answer and route phone calls, emails, and in-person inquiries professionally and promptly
  • Attend meetings and conferences; follow up and consult with leadership as requested
  • Handle sensitive personnel documents in accordance with applicable laws and Government guidance
  • Scan, upload, and maintain electronic records and filing systems
  • Maintain professional, positive working relationships with installation and community agencies
  • Complete all required Government orientation, initial, and annual training (including emergency preparedness training such as active shooter, tornado, and fire drills)
Security Requirements
  • Must be a U.S. Citizen; may be required to submit an original Birth Certificate or Certificate of Naturalization
  • Must complete an SF-86 (Questionnaire for National Security Positions) or AF Form 2583 (Request for Personnel Security Action), plus any other applicable forms, as part of the background investigation process
  • Subject to fingerprinting and a criminal and financial background investigation in accordance with agency regulations
  • A favorable background investigation is a condition of continued employment; unfavorable findings will result in immediate removal from the worksite and/or loss of Government computer system access
  • Must obtain and maintain a Common Access Card (CAC) for facility entry and access to Air Force Information Networks
  • Limited-scope duties only permitted during the initial processing period, until fingerprint clearance and/or full investigation adjudication is complete
  • Must comply with all Air Force installation and agency security requirements, including DoDM 5200.02 (DoD Personnel Security Program)
  • Required to complete Privacy Act and HIPAA training within 30 days of assignment and annually thereafter
Physical & Work Environment Requirements
  • Standard office environment on a military installation; primarily sedentary work with occasional walking within the facility
  • Must present a professional, conservative appearance consistent with community and installation standards
  • Must be able to safeguard Government property (keys, badges, equipment) issued for performance of duties
  • Compliance with all installation safety procedures, fire/emergency drills, and base-specific policies (e.g., no handheld device use while driving on base, no unauthorized photography)
