Job description

Purpose of the Position: The Clinic Receptionist at WILDWOOD FAMILY CLINIC is responsible for providing exceptional customer service and administrative support to ensure smooth operations within the clinic. This role serves as the first point of contact for patients and visitors, managing appointments, and facilitating communication between patients and healthcare providers.

Essential Functions:

  1. Greet patients and visitors warmly and professionally, ensuring a welcoming environment.
  2. Manage incoming calls, emails, and inquiries, providing accurate information and directing them to the appropriate departments.
  3. Schedule and confirm patient appointments using the clinic's electronic health record system, with a preference for Epic experience.
  4. Maintain patient records and ensure confidentiality in accordance with clinic policies and regulations.
  5. Assist patients with check-in and check-out procedures, including verifying insurance information and processing payments.
  6. Coordinate with healthcare providers and staff to ensure efficient patient flow and address any scheduling conflicts.
  7. Handle administrative tasks such as filing, photocopying, and data entry as needed.
  8. Address patient concerns and complaints with empathy and professionalism, escalating issues to management when necessary.
  9. Maintain a clean and organized reception area to enhance the patient’s experience.
  10. Participate in team meetings and contribute to continuous improvement initiatives within the clinic.

Required Education:
- High school diploma or equivalent
Required Experience:

  • Previous experience in a customer service or receptionist role, preferably within a healthcare setting

  • 2 years of Epic scheduling experience
  • Inbound/Outbound phone call experience
