The Epic Data Courier/Environment Release Coordinator is responsible for overseeing the promotion, migration, validation, and coordination of Epic application changes across all Epic environments. The role serves as a critical liaison between application teams, technical teams, training, testing, and operational stakeholders to ensure safe, efficient, and compliant movement of Epic build, configuration, and code through the software development lifecycle. The Coordinator manages Epic Data Courier activities, release schedules, environment governance, change control processes, deployment readiness, and post-release validation activities. The position plays a key role in maintaining environment integrity, minimizing production risk, and supporting a stable Epic ecosystem across the health system.

- 3 years of Experience supporting Epic applications, healthcare information systems, release management, or environment coordination, required.
- 1 year of experience with change management and software deployment processes, required.
- 1 year of experience with Epic Data Courier and Epic environment management, preferred.
- 1 year of experience coordinating production releases in a complex healthcare environment, preferred.

Ensures all release documentation and approvals are completed prior to migration activities. Coordinates integrated Epic upgrade, optimization, and project-related deployments. Manages release dependencies and resolves conflicts between competing deployment requests. Tracks release metrics and identify opportunities to improve deployment processes.
- Serves as the organization's primary administrator and subject matter expert for Epic Data Courier processes. Coordinates promotion of records, build, and configurations between Epic environments. Validates Data Courier packages for completeness, accuracy, and compliance with organizational standards. Monitors migration activities and troubleshoot deployment issues. Partners with Epic analysts to ensure proper packaging and deployment methodologies are followed. Maintains migration logs and audit records. Ensures accurate tracking of Data Courier requests and package history.
- Coordinates and manages Epic environment refreshes, copies, freeze periods, and maintenance activities. Collaborates with infrastructure, database, interface, and technical teams to support environment readiness. Monitors environment availability and communicate planned outages or maintenance windows. Maintains environment governance processes and standards. Supports testing cycles by ensuring appropriate environment configuration and stability. Coordinates environment access and deployment schedules across multiple teams.
- Manages Epic change control processes and ensure compliance with organizational standards. Facilitates review and approval of migration requests through governance structures. Ensures documented testing and validation requirements are satisfied before deployment. Supports audit readiness and regulatory compliance efforts. Develops and maintains release management policies, procedures, and standards. Participates in change advisory board (CAB) meetings and governance reviews.
- Coordinates deployment readiness assessments. Confirms successful promotion and deployment activities. Partners with testing teams to validate functionality before and after releases. Tracks and resolves release-related defects and issues. Supports rollback planning and contingency procedures. Assists with Epic upgrade testing coordination activities.
- Serves as the primary point of contact for Epic deployment communications. Provides regular status updates regarding releases, environment availability, and migration schedules. Coordinates communication between Epic application teams, operational leaders, vendors, and technical resources. Escalates risks and issues impacting release schedules or environment stability. Develops executive-level summaries of release readiness and outcomes.
- Assists in other duties as assigned to support the operational needs of the department and organization.
- May be required to remain on campus immediately before, during, and after severe weather and/or disasters.
As part of our selection process, candidates being considered for this position will be required to complete a Sphinx Assessment, which is used to evaluate job-related competencies and determine overall suitability for the role. Successful completion of the assessment is a required component of the hiring process.
This position also requires active participation in various phases of the Epic application lifecycle, including but not limited to implementation, go-live support, stabilization, optimization, and system upgrades. Candidates must be willing and able to accommodate the demands associated with these activities, which may include:
- This position operates in a hybrid work environment and may require a minimum of 25% onsite presence to support operational and business needs.
- Working additional hours outside of regularly scheduled business hours, including evenings and weekends, as project needs dictate.
