Summary:
The Epic Cadence Analyst is responsible for the design, build, optimization, and support of Epic Cadence functionality within the patient access and scheduling domain. This role partners with clinical, operational, and revenue cycle stakeholders to configure and maintain efficient workflows related to scheduling, referrals, and prior authorizations, ensuring a seamless patient experience.
Responsibilities:
Epic Cadence Build & Optimization
  • Design, build, test, and maintain Epic Cadence scheduling functionality.
  • Configure appointment types, visit types, scheduling templates, and provider calendars.
  • Optimize scheduling workflows to improve access, reduce delays, and enhance patient throughput.

Workqueue (WQ) Management
  • Build and maintain workqueues for scheduling, referrals, and prior authorizations.
  • Configure routing rules, triggers, and prioritization logic to ensure efficient task distribution.

Welcome Application Configuration
  • Design and maintain Epic Welcome workflows for check-in, arrival, and patient intake processes.
  • Collaborate with front desk and access teams to improve patient registration efficiency and experience.
  • Support kiosk, mobile, and desk-based check-in configurations.

Decision Trees & Workflow Design
  • Develop and maintain decision trees to guide schedulers through complex scheduling workflows.
  • Ensure decision trees support accurate appointment selection, referral requirements, and patient preparation.
  • Continuously review and refine decision logic based on operational feedback.

Online Scheduling Build
  • Configure and maintain Epic online scheduling (MyChart/Open Scheduling) functionality.
  • Build scheduling rules, slot restrictions, and patient-facing workflows.
  • Ensure online scheduling aligns with organizational access and provider availability strategies.

Referral Management
  • Build and maintain referral workflows, including referral orders, tracking, and status management.
  • Configure referral work queues to support intake, processing, and follow-up activities.
  • Partner with departments to ensure accurate referral routing and timely completion.

Prior Authorizations
  • Configure workflows to support prior authorization processes.
  • Integrate prior authorization requirements into scheduling and referral workflows.
  • Develop work queues and reports to track authorization status and reduce denials.

Testing & Support
  • Participate in unit, integrated, and user acceptance testing for system changes.
  • Troubleshoot issues and provide ongoing system support to end users.
  • Participate in upgrades, enhancements, and optimization initiatives.
Other Information
Education Requirements:
• Bachelor's degree in Computer Science, Information Systems Management or related field (or equivalent combination of education, training and experience).
Licensure/Certification Requirements:
• No licensure or certification required.
Professional Experience Requirements:
• If a Bachelor's degree: Four (4) years of experience with IT systems and/or related operational experience.
• If an Associate's degree: Six (6) years of IT systems and/or related operational experience.
• If a High School diploma or GED: Eight (8) years of IT systems and/or related operational experience.
Knowledge/Skills/and Abilities Requirements:
• Excellent analytical and communication skills. Ability to work well in a team environment. Demonstrated ability to successfully manage multiple tasks simultaneously. Highly responsive to internal customers.
