Job description

Customer Service โ€“ Food Manufacturing

Location: Vernon, CA Shift: (8:00 AM start required) Industry: Frozen Food Manufacturing / USDA Facility

Job Description: The Customer Service Representative (CSR) supports the Company's sales, logistics, and supply chain operations by providing high-quality customer service, coordinating order fulfillment, and maintaining accurate system records. This role works closely with Sales, Supply Chain, Warehouse, Logistics, and external carriers to ensure timely and accurate order processing. In addition, this role may be cross trained to support limited purchasing and supply chain functions under the direction of the Buyer or Supply Chain leadership. The CSR does not own supplier relationships or pricing decisions but provides transactional support to maintain operational continuity during peak periods, absences, or coverage needs. This is a temporary position with the possibility to become permanent. The position duties include but are not limited to the following:

  • Customer Service & Logistics (Core Responsibilities)
  • Prepare sales orders for carrier tendering (manifesting) by separating orders by region and weight
  • Research historical tenders/manifests to determine appropriate carrier selection based on delivery requirements
  • Prepare and edit tenders/manifests, including adding sales order information, saving documentation, and distributing to carriers and warehouses
  • Coordinate with the Supply Chain Manager to request inventory transfers to outside warehouses and combine transfers with LTL orders into full truckloads
  • Respond to carrier and warehouse communications regarding due date changes and update shipping and delivery dates in the ERP system (NAV)
  • Retender loads when carriers fall through by revising and redistributing tenders/manifests
  • Request delivery appointments from carriers and communicate appointment details to internal teams
  • Prepare pallet tags and shipping labels for warehouse operations
  • Act as liaison between carriers, warehouse, and customer service teams regarding shipping-day shortages
  • Update load and manifest numbers in the ERP system
  • Request Bills of Lading (BOLs) and Proof of Delivery (PODs) from carriers and warehouses as needed
  • Verify accuracy of all order, shipping, and manifest data
  • Maintain organized, up-to-date files for assigned customers
  • Provide receptionist phone coverage as needed
  • Perform general administrative duties including scanning, filing, faxing, and documentation management
  • Perform other duties as assigned by management
  • Purchasing & Supply Chain Support (Cross-Trained Functions)
  • Assist with creation and processing of Purchase Orders (POs) in the ERP system based on Buyer approved instructions
  • Update PO due dates, confirmations, and shipment status in NAV
  • Track open purchase orders and expected delivery dates and report exceptions to the Buyer
  • Follow up with vendors on order status, delivery confirmations, and documentation (no pricing or negotiation authority)
  • Coordinate receiving documentation and communicate delivery details to warehouse teams
  • Run and distribute open PO, receiving discrepancy, or inventory-related reports as requested
  • Support inter-warehouse transfers and purchasing-related data entry during peak workload periods
  • Escalate shortages, late deliveries, discrepancies, or vendor issues to the Buyer for resolution
  • Maintain organized purchasing documentation and ensure system data accuracy

Role Authority & Controls (Clarification)

The Customer Service Representative does not negotiate pricing, select suppliers, or commit to quantities without Buyer approval. All purchasing activity must follow established procedures, approvals, and pricing provided by the Buyer. The Buyer retains full ownership of supplier relationships, pricing, contracts, and vendor performance management.
