The Role

CetraRuddy is seeking a Marketing and Graphics Coordinator to work in a creative, entrepreneurial environment, contributing to the firm's strategic initiatives across marketing, business development, public relations, and research.

This is an entry-level role designed for someone early in their career who is eager to learn the full breadth of marketing and business development in an architecture and interior design firm.

The Marketing and Graphics Coordinator works closely with the marketing and business development team, including the Marketing Manager, Business Development Manager, Visual Communications and Graphics Coordinator, and Proposal Manager, and collaborates directly with firm Principals and design staff.

This position reports to the Director of Marketing and Business Development and is based in our New York City office in a hybrid, highly collaborative working environment.


Key Responsibilities


Marketing & Graphics Support

  • Support the production and maintenance of marketing materials across the firm
  • Provide support to the team and work in close coordination with the Visual Communications and Graphics Coordinator
  • Work with Principals, design staff, and marketing team members to develop and produce marketing materials
  • Work closely with marketing team members to develop and implement updated brand guidelines across a range of areas including collateral, website, print, and digital
  • Aid in the development of new marketing materials for strategic initiatives, including custom presentations, portfolios, books, campaigns, and mailings
  • Configure and deploy email campaigns and reporting
  • Develop, maintain, and update marketing materials and digital files, including firm contact lists, project information forms and descriptions, resumes, and visual/photography assets
  • Assist in maintaining up-to-date brand consistency across collateral, templates, and standards


Business Development Support

  • Provide hands-on support to the firm's business development efforts, including research, database maintenance, and production of pursuit materials
  • Work with Principals, design staff, and marketing team members to support proposals for both public and private entities
  • Maintain and update firm CRM database for business development and marketing efforts
  • Support sector-specific business development efforts, including event coordination and tracking
  • Maintain and update files commonly used in proposals (resumes, project info and sheets)
  • Support BD manager as needed with in-depth research on potential new markets, clients, and projects, and synthesize findings into clear, concise summaries for the team


PR, Digital, & Communications Support

  • Support the firm's external communications presence across PR, digital, and social media channels
  • Support PR efforts, including press releases, articles, industry conference tracking, and principal speaking engagements
  • Support the firm's social media presence and collaborate on content strategy
  • Help maintain a current photo and project library for use across digital and printed communications


Qualifications

  • Bachelor's degree
  • 0-2 years of experience in marketing, communications, business development, or related field
  • Strong written and verbal communication skills
  • Ability to work effectively in a team environment
  • Creativity and sensitivity to high-quality design
  • Proficiency or working familiarity with Adobe Creative Suite
  • Proficiency in InDesign, Photoshop, and Illustrator
  • Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams)
  • Social media and digital platform familiarity
  • Ability to organize research into clear and concise information
  • Highly organized, detail-oriented, and quality conscious
  • Ability to manage multiple projects, deadlines, and shifting priorities

Preferred Qualifications

  • Prior experience supporting marketing, business development, or proposals in an architecture, interior design, or engineering firm

  • Familiarity with CRM or CMS database platforms
  • Video production and editing experience a plus
