POSITION TITLE: Fleet Administrator / Service Writer
DEPARTMENT: Public Works and Transportation
DIVISION: Fleet Management
SALARY: $47,044.00 Yr, / $22.617308 Hr.

Job Summary/ Scope
Performs payroll duties including but not limited to processing timecards, payroll books, timesheets, and personnel action forms. Processes purchase order documentation, including master agreements and price agreements. Performs general secretarial duties including answering telephones, data entry, filing, computer work and using City’s radio system. Limited budgetary responsibilities.
Essential Duties and Responsibilities
  • PROCESSES payroll paperwork including timecards for full-time employees, payroll books and time sheets for Fleet Management employees. ACTS as payroll system administrator for Fleet Management.
  • TRACKS all employee records, employment dates and history and any other documents for Fleet Management.
  • PREFORMS data entry and miscellaneous clerical task for supervisor.
  • ANSWERS telephones and PROVIDES information.
  • CREATES requisitions and other financial documents including but not limited to purchase orders, petty cash vouchers, and APs.
  • TYPES employee action forms.
  • TYPES general and confidential correspondence.
  • PROCESSES procurement card statements.
  • MAINTAINS Billing for departments from Fleet Management.
  • ADMINISTERS AND TRACKS fleet pool vehicles and equipment.
  • ASSIST with entering employees into Entry Level Drivers Training Program.
  • MAINTAINS fuel management system.
  • MAINTAIN surplus materials and equipment.
  • TRACKS small equipment inventory.
  • ASSISTS employees (including new hires) with insurance/benefit paperwork, open enrollment, and other HR paperwork.
  • MAINTAINS office supplies and materials.
  • DIRECTLY assists Fleet Director with tracking the budget by data entry and monitoring the division tracking database.
  • HR, FINANCE, and PURCHASING LIAISON for Fleet Management.
Other Duties and Responsibilities
Performs all other related duties as assigned.

Required (Essential) Knowledge, Skills and Abilities

  • ABILITY to develop knowledge of equipment and motor oils first six months of employment.
  • KNOWLEDGE of general office procedures.

  • SKILLS in asset management software.
  • ABILITY to follow instructions and perform tasks with minimum supervision.
  • ABILITY to relate well to fellow employees and the public.
  • MUST have a valid driver’s license.
  • GOOD verbal communication skills.
Materials and Equipment Directly Used
Uses a variety of office equipment including personal computer, typewriter, copier, fax machine and other related equipment. There may be times when use of personal vehicle may be required.
Working Environment/Physical Requirements
Work is performed in an office setting with a controlled environment seldom need to lift more than 10 to 20 pounds. Sit for long periods of time at computer terminal. Work involves frequent in-office walking, standing, sitting, bending, and reaching. Some overnight or day travel may be required for business purposes. Vacation and other leave scheduling shall be requested of and approved by the appropriate supervisor.
Education
High school diploma or equivalent required. Associate degree in a related field preferred. One to three years’ prior experience in a related field required.
