Help Patients Navigate One of the Most Important Steps in Their Care


At Neuroscience Group, every successful surgery begins with exceptional coordination. We're looking for an organized, compassionate Surgery Scheduler to join our team and guide patients through the scheduling process with confidence and care.


In this full-time, Monday through Friday position, you'll coordinate neurosurgical procedures from start to finish, working closely with providers, hospitals, surgery centers, clinical teams, and patients to ensure every detail is in place. Your ability to communicate effectively, stay organized, and anticipate the next step will help create a seamless experience for both patients and providers.

What You'll Do


As a Surgery Scheduler, you'll be the central point of coordination for our neurosurgery patients by:


  • Surgical & Procedural Scheduling
  • Scheduling hospital and ambulatory surgery center (ASC) procedures using electronic scheduling systems
  • Building surgical cases in Epic based on provider requests and established workflows
  • Coordinating operating room time with hospitals and surgery centers
  • Scheduling pre-operative and post-operative appointments
  • Arranging required imaging, testing, and ancillary procedures before surgery
  • Patient Communication & Care Coordination
  • Serving as a primary contact for patients throughout the surgical scheduling process
  • Answering incoming calls with professionalism and exceptional customer service
  • Providing patients with pre-operative instructions and education
  • Communicating with providers, clinical teams, hospitals, surgery centers, and other partners to ensure every aspect of the patient's care is coordinated
  • Notifying surgical representatives, neuromonitoring vendors, and other clinical partners of scheduled procedures and any changes
  • Documentation & Authorization Support
  • Ensuring all required orders, consents, and documentation are completed accurately and submitted on time
  • Verifying surgical authorizations and coordinating with the prior authorization team when additional approvals are needed
  • Maintaining accurate documentation within the electronic medical record to support continuity of care
  • Team Collaboration
  • Participating in team and department meetings
  • Supporting fellow schedulers and clinical staff to maintain efficient daily operations
  • Assisting with additional responsibilities as assigned

What You'll Bring


Required Qualifications


  • At least one year of experience as a Patient Service Representative, Clinical Assistant, Medical Assistant, or in a similar healthcare role
  • Knowledge of medical terminology
  • Strong computer and keyboard skills
  • Excellent communication and customer service abilities
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced healthcare environment
  • Strong critical thinking and problem-solving skills


Preferred Qualifications


  • Experience using Epic electronic medical records
  • Previous surgery scheduling experience
