Job description

The Operations Junior Data & Staff Analyst supports the Practice Management Group by assisting with attorney staffing, operational reporting, data analysis, and practice group administrative initiatives. This position works closely with the Practice Management, Legal and People Operations, Finance, and Practice Group leadership to support workload management, utilization tracking, staffing coordination, and operational efficiency across the firm's practice groups.
This is a fast-paced, collaborative role that requires exceptional organizational skills and attention to detail, and the ability to liaise effectively between attorneys, firm leadership, and administrative departments. The Operations Junior Data & Staff Analyst ensures that each group is well supported, aligned with firm priorities, and equipped to deliver outstanding client service.
Duties and Responsibilities
Operational Management
  • Build, monitor, and update staffing databases, spreadsheets, and internal tracking systems.
  • Assist with staffing and tracking process across practice groups and offices.
  • Compile, analyze, and maintain operational and staffing reports, including utilization, capacity, productivity, and matter assignment data.
  • Utilize Power Automate, Microsoft Lists, Microsoft Excel, and SharePoint skills to create automated processes and workflows for staffing, teams, and headcount ratios.
  • Monitor and analyze timekeeper workloads and assist in identifying staffing gaps, capacity concerns, and workflow trends to ensure a balanced workload while meeting client needs promptly and make recommendations to Practice Group leadership.
  • Coordinate with Legal and People Operations, Finance, Recruiting, and the Practice Group Leaders regarding attorney assignments and staffing needs.
  • Prepare recurring and ad hoc reports related to attorney productivity, billable hours, staffing allocation, and operational metrics.
  • Work with practice group leaders and firm leadership to understand business goals, plan for future needs, and allocate resources effectively. This includes tracking partner-associate ratios and providing staffing forecasts.
  • Set up and manage efficient workflows, task tracking, calendars, and systems for organizing legal information.
  • Serve as a key contact between partners, lawyers, and the firm's support departments (billing, people ops, IT, marketing, etc.) to assist the practice group in achieving its objectives.
  • Identify and participate in development and implementation of improvements to processes and workflows, leveraging the firm's technology resources and proven methods.

Communication and Coordination
  • Plan and organize regular meetings and communication efforts to keep all stakeholders informed and aligned.
  • Provide best practice recommendations for communicating a diversity of topics to Practice Group and firm leaders.
  • Create and update procedures to follow best practices and maintain current documentation.
  • Maintain confidentiality of sensitive personnel and operational information.

Project Management
  • Maintain updated staffing tools, processes, and databases to ensure quality information that supports business goals and targets.
  • Troubleshoot system errors and resolve user concerns related to staffing software, ensuring timely support and effective issue resolution.
  • As directed, assist with practice group initiatives, special projects, and operational process improvements ensuring timely delivery and effective resource allocation.

Qualifications
  • Bachelor's degree in business administration, computer/data science, data mining and analytics, engineering, statistics, economics, or a related field.
  • 1-3 years of experience in computer/data science, legal operations, staffing coordination, finance, or professional services operations.
  • Ability to utilize high level skills in Power Automate, Power Query, Microsoft Lists, Microsoft Excel (including Pivot tables and formulas), and SharePoint.
  • Experience with Python, SQL, Tableau is a plus.
  • Experience with and understanding of carrier guidelines and basis for them.
  • Demonstrate sound judgment and the capacity to make timely and defensible decisions.
  • Excellent analytical, problem-solving skills, negotiation, and communication skills; ability to present complex information clearly.
  • Strong attention to detail and ability to manage multiple priorities under deadlines
  • Collaborative, proactive, and service-oriented mindset.

Physical Requirements
