Position: Workplace Experience Coordinator (This role is internally referred to as "Facilities Coordinator")                               

Department: Facilities       FLSA Status: Non-Exempt

Work Location: San Francisco, CA

Schedule:  7:00 AM–4:00 PM; flexibility required to support business needs outside standard hours

Since its inception in 2004, TMC has provided these services at landmark locations including Point72 Asset Management, The Baccarat Hotel and Residencies, The Aman New York, 1 Hotels, and Auberge Resorts.


Position Overview:

We are seeking a polished, service-oriented Facilities Coordinator to support a San Francisco office. This individual will serve as a key front-of-house representative and help ensure a seamless, high-quality workplace experience for employees, clients, and visitors. The ideal candidate brings sound judgment, strong ownership, attention to detail, and the ability to operate effectively in a fast-paced, high-expectation environment.

Key Responsibilities:

  • Serve as the first point of contact for employees, clients, and visitors, providing a professional, welcoming reception.
  • Maintain a polished, organized, and fully operational reception area, conference rooms, pantry, and shared office spaces.
  • Manage visitor registration, guest arrivals, mail, deliveries, and reception coverage with discretion and professionalism.
  • Partner with executive assistants, Facilities, IT, Security, and building management to support meetings, events, office operations, and day-to-day service needs.
  • Coordinate conference room setup, catering, AV support, document printing, guest access, and post-meeting resets.
  • Monitor and replenish office, pantry, and conference room supplies; ensure equipment and amenities are functioning properly.
  • Respond to incoming calls, emails, and facilities requests promptly, resolving issues directly or escalating appropriately.
  • Support facilities operations, including maintenance tickets, vendor coordination, office moves, repairs, cleaning, HVAC, catering, and other services.
  • Assist with onsite events, special projects, administrative tasks, data entry, filing, and ad hoc requests as needed.
  • Uphold high standards of hospitality, discretion, responsiveness, and accountability across all responsibilities.

Qualifications:

  • Bachelor’s degree required
  • 2+ years of experience in reception, hospitality, facilities, office services, or a related corporate environment
  • Exceptional professionalism, presence, and communication skills, with the ability to interact confidently with employees, senior leaders, clients, and vendors
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment
  • High degree of ownership, judgment, discretion, and follow-through
  • Proactive, solutions-oriented mindset with the ability to operate independently and escalate when appropriate
  • Proficiency in Microsoft Office Suite
  • Positive, flexible, and service-driven approach to supporting a high-performance workplace
