ABOUT THE ROLE
Citadel CPM is seeking a highly organized and motivated entry level Marketing & Proposal Assistant to support proposal development, business development, marketing initiatives, CRM management, and content administration. Reporting to the Marketing & Proposal Operations Manager, this role plays a key part in maintaining proposal readiness, supporting pursuit activities, and helping strengthen the Citadel CPM brand throughout Southern California.


ABOUT YOU
We're looking for someone with at least 1 year of work experience, preferably in the marketing department within the Architecture/Engineering/Construction (AEC) industry who can coordinate the end-to-end proposal process. This role is ideal for someone who thrives in a collaborative environment and enjoys blending strategy, writing, design, and coordination to deliver compelling materials that help win new business.


BASIC QUALIFICATIONS

  • Support the maintenance of resumes, project sheets, boilerplate content, forms, and proposal templates.
  • Assist with Deltek Vantagepoint CRM data entry, opportunity tracking, pipeline reports, and pursuit documentation.
  • Support prequalification and RFQ/RFP pursuits including scheduling, document assembly, compliance reviews, proofreading, formatting, printing, and electronic submissions.
  • Coordinate proposal reviews, interview preparation materials, and presentation logistics.
  • Support website updates, social media posts, newsletter content, project highlights, and award submissions.
  • Maintain organized digital filing systems, SharePoint resources, and marketing archives.
  • Assist with data collection, market research, competitor tracking, and client intelligence gathering.
  • Collaborate with project managers and technical staff to collect project information and marketing content.


REQUIRED QUALIFICATIONS

  • At least 1 year of work experience in marketing, preferably within the AEC industry.
  • Deltek Vantagepoint, Deltek Vision, Cosential, PARC or CRM experience is a plus.
  • Strong writing, editing, proofreading, and organizational skills.
  • Experience with Adobe InDesign and Adobe Creative Suite preferred.
  • Proficiency with Microsoft Office (Word, PowerPoint, Excel and Outlook).
  • Ability to manage multiple deadlines in a fast-paced environment with exceptional attention to detail.
  • Ability to handle sensitive information and maintain discretion is required
  • Excellent written and verbal communications skills are required
  • Excellent organizational skills are required
  • Some experience with AI & automation is desirable


EDUCATION REQUIREMENTS

  • Graduation from an accredited college or university with a bachelor’s degree in Marketing, Communications, Journalism, Business, Graphic Design, or related field

Pay range for the Marketing & Proposal Assistant is $50,000 - $65,000 salary per year.
