JOB SUMMARY:

Executive Assistant I to provide administrative support to multiple leaders within the organization. This entry-level executive assistant role is ideal for someone looking to build a career in executive support, with opportunities to grow into Executive Assistant II and Senior Executive Assistant roles. The ideal candidate is highly organized, eager to learn, and able to handle multiple priorities with professionalism

JOB ROLE AND RESPONSIBILITIES:

Administrative & Operational Support

  • Manage and coordinate calendars for multiple executives, scheduling meetings and appointments.
  • Arrange travel logistics, including flights, accommodations, and ground transportation.
  • Assist with meeting preparation, including creating agendas and gathering materials.
  • Handle basic correspondence, emails, and phone calls in a professional manner.
  • Order & maintain inventory of office supplies


Meeting & Event Management

  • Organize leadership meetings, including agenda creation, minute-taking, and follow-up on action items.
  • Serve as a point of contact for coordination of company events, providing support for in office and off site events.


Communication & Collaboration

  • Act as a point of contact between leadership, employees, clients, and external partners.
  • Screen and direct phone calls, emails, and inquiries professionally.
  • Support cross-functional projects by tracking action items and deadlines.
  • Maintain confidentiality when handling sensitive information.


JOB SCOPE:

The Executive Assistant I provides administrative support to leadership, managing complex calendars, coordinating meetings and handling confidential communications. This role requires exceptional organizational skills, discretion, and the ability to anticipate team needs while ensuring seamless daily operations.

JOB REQUIREMENTS (Education, Experience, and Training):

  • Experience: 1-3 years of administrative or executive support experience preferred.
  • Education: Associate's or Bachelor's degree preferred.


SKILLS:

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to prioritize and handle time-sensitive tasks efficiently.
  • High level of professionalism and discretion.
  • Experience with scheduling, travel coordination, and expense reporting.

COMPENSATION:
The salary range for this position is $60k-$70k. Specific offers take into account a candidate's education, experience and skills, as well as the candidate's work location and internal equity. This position is also eligible for health insurance, 401k and bonus opportunity.
