Job Description
Position Summary
The Sales Support Coordinator provides administrative, operational, and customer support to the Sales team to ensure quotes, orders, pricing, and customer requests are processed accurately and efficiently.
This position is responsible for preparing material lists and pricing quotes, reviewing pricing and order information prior to order release, and initiating invoice corrections when discrepancies are identified. The Sales Support Coordinator will work closely with Sales, Customer Service, Pricing, Finance, and other internal departments to resolve issues and provide timely support.
The position will utilize Salesforce for customer communication, email, case management, and sales-support activities; JD Edwards (JDE) for product and pricing information; and Microsoft Office, particularly Excel, for analysis, reporting, and data management.
This is an entry-level position designed for an individual who is highly organized, detail-oriented, comfortable working with numbers and systems, and interested in developing a career in Sales Support, Sales Operations, or Customer Service.
Essential Responsibilities
Quoting & Material List Support
  • Prepare material lists based on customer and sales representative requirements.
  • Prepare standard pricing quotes using information available in JD Edwards and established company pricing guidelines.
  • Ensure quotes contain accurate product descriptions, quantities, pricing, and other required information.
  • Review quote requests for completeness and follow up with Sales or other departments when additional information is required.
  • Maintain accurate records of quotes and related communications.
  • Assist Sales representatives with quote revisions and updates as requested.

Order & Pricing Review
  • Compare order pricing against established pricing, customer-specific pricing, quotes, contracts, or other applicable guidelines before releasing them for processing.
  • Communicate discrepancies to the appropriate Sales representative or internal department and assist with resolution.

Invoice & Billing Support
  • Review identified billing discrepancies and assist in determining the appropriate correction.
  • Coordinate with Sales, Customer Service, Finance, and other departments as necessary to resolve billing issues.
  • Maintain documentation related to invoice corrections and follow established approval procedures.
  • Monitor recurring billing issues and communicate trends to management.

Salesforce & Customer Support
  • Utilize Salesforce to manage customer emails, cases, requests, and related sales-support activities.
  • Respond to routine customer and Sales inquiries in a timely and professional manner.
  • Create, update, and maintain accurate case information and supporting documentation.
  • Follow up on open cases and requests to ensure timely resolution.

Data & Reporting
  • Utilize Microsoft Excel to organize, analyze, and report sales-support information.
  • Perform basic data analysis to identify discrepancies, trends, and opportunities for improvement.
  • Assist with preparing recurring reports and information requested by Sales Support or Sales Management.
  • Maintain accurate and organized electronic records.

Process Improvement
  • Provide feedback and suggestions for improving Sales Support processes.
  • Identify repetitive, inefficient, or error-prone processes and communicate opportunities for improvement.
  • Participate in process improvement projects as assigned.
  • Assist with testing and implementing changes to Sales Support procedures and systems.
  • Help document standard processes and procedures.
  • Share observations and ideas that could improve accuracy, efficiency, customer service, or the overall Sales Support experience.

Cross-Functional Support
  • Work collaboratively with Sales, Customer Service, Pricing, Finance, Operations, and other departments to resolve customer and order-related issues.
  • Assist Sales representatives with routine administrative and operational requests.
  • Serve as a reliable point of contact for Sales Support-related questions.
  • Develop an understanding of the company's products, pricing structure, order process, and customer requirements.
  • Perform other duties and special projects as assigned.
