Job description

Summary
As a Creative Project Specialist, you will play a central coordinating role in the planning, scheduling, and delivery of our creative content. In this entry-level specialist position, you will support the entire production lifecycle, from initial concept to final implementation. You will partner closely with internal design teams and cross-functional departments to ensure all creative assets, messaging, and deadlines align with our campaign calendars. Your meticulous attention to detail and foundational project tracking skills will be essential in maintaining a smooth, efficient workflow for the broader marketing team.
What You'll Do
Essential Functions
  • Coordinate Workflows: Maintain the creative request tracker, ensuring all requested assets are routed correctly and delivered to channel managers on time.
  • Facilitate Operations: Coordinate day-to-day project tasks, systems, and procedures to help ensure an efficient workflow across all creative initiatives.
  • Track Deliverables: Support creative projects from conception to completion, tracking timelines and monitoring multi-step deliverables to keep teams on schedule.
  • Cross-Functional Collaboration: Work directly with Marketing channel and campaign teams to ensure timely asset hand-offs and accurate campaign deployment.
  • Maintain Documentation: Update and organize project documentation, brand guidelines, standard operating procedures (SOPs), and instructional materials.
  • Process Invoices: Facilitate the invoicing process, ensuring all invoices are received, logged, and processed accurately and in a timely manner.
  • Asset Coordination: Oversee the intake of third-party image files, compile an overview tracker, and facilitate the cross-departmental approval process required for accurate website uploads.
  • Campaign Support: Assist in the execution of diverse projects and campaigns as they develop in response to market demands.
  • Relationship Building: Develop and maintain positive working relationships with the wider business and other departments, including the promotions team, supply chain, non-food, and operations.
  • Task Execution: Execute weekly, monthly, and quarterly administrative and operational tasks sent by our international (INT) colleagues, following up with relevant stakeholders as needed.
  • Tool Implementation: Support the rollout of new tools provided by INT to maximize efficiency among all marketing stakeholders.
What You'll Need
Required Knowledge, Skills, Abilities
  • Proficient with Google Suite.
  • Analytical mindset with the ability to troubleshoot production issues and find efficient solutions.
  • Proven ability to manage multiple weekly priorities alongside ad-hoc tasks.
  • Perform rigorous quality checks, utilizing 'four-eye priciple' reviews on artwork and proofreading copy to ensure flawless final delivery.
  • Foundational project management skills, including the ability to track timelines and follow through on multi-step deliverables.
  • Solid understanding of marketing principles and the ability to present creative direction or ideas clearly to the creative team.
  • Excellent written and verbal communication skills for interacting with internal stakeholders and discussing creative direction.
  • Ability to operate in a fast-paced environment.
Preferred Knowledge, Skills and Abilities:
  • Experience using Adobe Workfront is highly preferred.
  • Strong writing and copywriting skills.
  • Familiarity with Adobe Creative Suite (Photoshop, InDesign, Illustrator).
Required Education, Certifications/ Licenses, Related Experience
  • Bachelor's degree in marketing, economics or communication.
  • 2-3 years of experience in a related field.
  • In lieu of degree, 5+ years of experience in related field will meet the education and related experience requirements listed above.
Physical Job Requirements
  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to identify and distinguish between colors more than half the time.
