Entry Level Associate Project Manager information

What does an Entry Level Associate Project Manager do?

An Entry Level Associate Project Manager assists in planning, organizing, and coordinating projects under the supervision of a senior project manager. Their responsibilities include tracking project progress, maintaining documentation, communicating with team members, and ensuring tasks are completed on time and within budget. This role provides valuable experience in project management principles and practices, often serving as a stepping stone to more advanced project management positions.

What are the key skills and qualifications needed to thrive as an Entry Level Associate Project Manager, and why are they important?

To thrive as an Entry Level Associate Project Manager, you need a basic understanding of project management principles, organizational skills, and often a bachelor's degree in business or a related field. Familiarity with project management software like Microsoft Project, Asana, or Trello and, in some cases, entry-level certifications such as CAPM can be advantageous. Strong communication, problem-solving abilities, and teamwork make someone stand out in this position. These skills are crucial for effectively coordinating tasks, supporting senior managers, and ensuring projects stay on track and within scope.

What are some typical challenges faced by Entry Level Associate Project Managers when coordinating with cross-functional teams?

Entry Level Associate Project Managers often encounter challenges in aligning the priorities of various departments, such as marketing, engineering, and finance, especially when each team has its own deadlines and objectives. Effective communication and proactive follow-up are essential to ensure everyone is on the same page and project milestones are met. Building relationships and learning to diplomatically resolve conflicts can help facilitate smoother collaboration and keep projects on track. Over time, developing these skills not only helps overcome immediate challenges but also sets a foundation for growth into more senior project management roles.

Can I be an entry-level project manager?

What is the 80/20 rule for project managers?

The 80/20 rule for project managers suggests that roughly 80% of project results come from 20% of efforts or activities. Entry level associate project managers can use this principle to prioritize tasks that have the greatest impact on project success, such as stakeholder communication and risk management, to improve efficiency and outcomes.

What is an entry-level position for a project manager?

Job description

As we continue to revolutionize the commercial real estate industry, we're hiring an Associate Project Manager - Implementation to join our team. This is an entry-level role built for someone ready to take things on and grow fast. You'll be embedded in a fast-moving implementation org, supporting clients and internal teams through onboarding, approval, and early adoption. You'll work cross-functionally to ensure a seamless experience from pre-sale through ongoing support, and you'll do it with an AI-first mindset, leaning on modern tools to work smarter, not harder.
** Please note that this opportunity is located in New York, NY, and requires this hire to work from our office four days a week. **
What you'll do:
  • Drive Efficiency with AI - Approach every task with an AI-first mindset. Look for opportunities to leverage AI & Automation Tools to automate data collection, streamline workflows, and reduce manual lift.
  • Project Execution Partnership - Partner on projects to plan, schedule, and manage project timelines from kickoff through portfolio go-live. Facilitate recurring project management meetings, build bespoke implementation plans tailored to client goals, and ensure each project lands on time, within scope, and against the right outcomes.
  • Handle Varied Scope - Move between data onboarding, client-specific implementation plans, and internal projects without losing momentum. You'll juggle multiple priorities and know when to ask for help versus push through.
  • Cross-Functional Collaboration - Work closely with Sales, Solutions, Customer Success, and Support to ensure a consistent client experience from pre-sale through ongoing support.
  • Develop Toward Client Mastery - Actively participate in internal team strategy and project management meetings to hone "VTS Best Practices" toward managing client expectations and milestones, with a clear path to owning your own accounts.
What makes you a great fit?
  • AI Forward - You've used LLM & or automation tools like n8n, Cursor, or to automate or accelerate your own work, even on personal projects.
  • Structured Thinker You turn ambiguous problems into organized plans. You're comfortable with spreadsheets, models, and data, and you ask the right questions before jumping into execution.
  • Strong Communicator You can write a clear status update, run a 30-minute client call with minimal guidance from a senior IM in the room, and know when to escalate.
  • Multitasker You thrive in fast-paced environments and can juggle multiple internal priorities without dropping the ball.
  • Growth-Oriented You're looking for a foot-in-the-door role where you can master the product internally before eventually leading your own client accounts.

What Success Looks Like
First 6 months: You've shadowed senior IMs across the full implementation lifecycle, taken ownership of data onboarding for at least one client, and built or contributed to at least one AI-driven workflow that saves the team measurable time.
First 12 months: You're running smaller client implementations independently, facilitating client meetings without a senior IM, and recognized cross-functionally as the go-to for at least one part of the implementation process. What VTS Values & How We Show It
