Job Summary
 We are seeking a motivated and detail-oriented Administrative Assistant to join our property management team. In this role, you will support our office staff and property managers, ensuring smooth day-to-day operations and providing exceptional service to tenants, owners, and vendors. Responsibilities include answering and directing calls, scheduling appointments, assisting with department needs, preparing correspondence, and maintaining organized records. The ideal candidate is highly organized, has strong written and verbal communication skills, and brings a professional, customer-focused approach to every interaction. 
Responsibilities 
  • Answer and direct phone calls, emails, and other correspondence in a professional manner.
  • Greet and assist tenants, property owners, vendors, and visitors.
  • Schedule and coordinate appointments, meetings, and property inspections.
  • Prepare and distribute correspondence, reports, and property notices.
  • Maintain organized records of leases, maintenance requests, and other documents.
  • Assist property managers with tenant communication and follow-ups.
  • Support accounting tasks, such as collecting payments, processing invoices, and data entry.
  • Coordinate vendor services and track work orders.
  • Assist with resident move-ins, move-outs, and lease renewals.
  • Perform general office duties, including filing, scanning, and ordering office supplies.
  • Ensure smooth day-to-day office operations and provide administrative support to all departments.
Qualifications
  • High school diploma/GED required
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
