At Danny Wimmer Presents, we don't just produce festivals—we create unforgettable experiences where music, fans, and brands come together. We're looking for a highly organized and detail-oriented Contracts Admin to join our Legal team and support the Talent Services department.

This is a hybrid role that combines contract administration, talent operations, and executive-level coordination. You'll help manage artist agreements, maintain booking and contract records, coordinate with internal teams, and keep critical deadlines on track. This role is ideal for someone who enjoys staying organized, managing multiple priorities, and being the person who keeps everything moving behind the scenes.

Key Responsibilities

  • Prepare artist offers, performance agreements, and other contract documents using established templates.

  • Manage the artist contract process from initial offer through execution, coordinating timelines, tracking deliverables, and ensuring all milestones are completed accurately and on schedule.

  • Serve as the central point of coordination for artist contracting, communicating priorities, status updates, and deadlines across internal teams.

  • Develop and maintain project trackers, booking grids, talent schedules, and contract dashboards to provide visibility into contract status and key milestones.

  • Coordinate booking timelines and proactively follow up with internal stakeholders and external partners to keep projects moving forward.

  • Enter and maintain artist, contract, and event information within Airtable and other internal systems, ensuring data accuracy and consistency.

  • Collect, organize, and distribute marketing assets associated with artist agreements.

  • Prepare artist analysis reports, compile talent-related data, and assist with operational reporting.

  • Assist with show settlements and other contract-related administrative tasks.

  • Process wire requests, deposits, and other financial documentation associated with artist agreements.

  • Review incoming contracts for completeness and route agreements through the appropriate approval and signature process.

  • Track contract deadlines, deliverables, renewals, and notice periods to ensure timely completion and follow-through.

  • Assist with vendor agreements, insurance certificates, and other administrative legal documentation as needed.

  • Continuously evaluate workflows, recommend process improvements, and help implement more efficient contract administration and project management practices.

  • Support additional administrative responsibilities, cross-functional initiatives, and special projects as assigned.

Preferred Qualifications

  • Bachelor's degree preferred or equivalent combination of education and experience.

  • 2–4 years of experience in contract administration, executive support, talent coordination, event operations, or a related administrative role.

  • Experience in the music, entertainment, live events, venue, casino, or hospitality industry is strongly preferred.

  • Previous experience supporting executives or working in a highly collaborative, fast-paced environment is a plus.

  • Exceptional organizational skills with strong attention to detail.

  • Ability to manage multiple priorities and meet tight deadlines.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office and Adobe Acrobat; Airtable experience is a plus.

  • A proactive mindset with a willingness to learn and take on new responsibilities.

  • Passion for live music and the festival industry.

This position is hybrid in Nashville, TN or Los Angeles, CA, with at least four days in the office, with the flexibility to work remotely one day a week.

Salary range is DOE. Additional benefits include PTO, sick days, and medical/dental/vision/401k benefits. This represents the typical salary range for this position and is just one component of DWP's total compensation package for employees.
