Job description

Overview:

Seeking an organized and detail-oriented Surgical Scheduler to coordinate and schedule ENT surgical procedures, including head and neck, sleep apnea, and other specialty surgeries. This role partners closely with providers, patients, authorization teams, and operating room staff to ensure cases are scheduled accurately and efficiently. Responsibilities include obtaining and tracking required authorizations, maintaining surgical schedules and case tracking tools, verifying patient and insurance information, and ensuring all documentation is complete prior to surgery.

Description:

  • Schedule and post surgical cases for ENT providers, including head and neck procedures, sleep apnea surgeries, and other specialized ENT interventions.
  • Coordinate with the Authorization Team to ensure all required insurance authorizations are obtained prior to surgery.
  • Gather and verify patient demographic, insurance, and surgical information needed for scheduling.
  • Maintain and update surgical tracking tools and case management spreadsheets to ensure accurate case readiness.
  • Enter and update surgical cases on departmental and provider calendars.
  • Communicate with patients regarding scheduling details and any information needed to facilitate the surgical process.
  • Collaborate with surgeons, clinical staff, operating room personnel, and administrative teams to ensure timely case scheduling.
  • Review case documentation for completeness and follow up on missing information as needed.
  • Ensure compliance with organizational policies, scheduling protocols, and patient confidentiality standards.
  • Assist with rescheduling or adjusting cases as necessary based on provider availability, authorization status, or patient needs.

Additional Skills & Qualifications

  • Previous experience in surgical scheduling, medical scheduling, or healthcare administrative support preferred.
  • Experience working with insurance authorizations and referrals strongly preferred.
  • Knowledge of medical terminology; ENT or surgical specialty experience is a plus.
  • Strong organizational skills with the ability to manage multiple cases and deadlines simultaneously.
  • Excellent communication and customer service skills.
  • Proficiency with EMR/EHR systems, scheduling software, and Microsoft Office applications.
  • High attention to detail and ability to maintain accurate records in a fast-paced environment.

This is a Contract position based out of Washington, DC.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
