The Programs and Volunteers Coordinator supports implementation of the Mason-Scharfenstein Museum of Art's public programs, volunteer infrastructure, and participant tracking as part of Interwoven: A Habersham Arts Initiative, a three-year IMLS Museums for America grant (September 2026 - August 2029). This position expands the museum's capacity to serve Habersham County by coordinating workshops, school and homeschool visits, volunteer and docent recruitment and training, and Advisory Council logistics. The Coordinator ensures consistent documentation of program outputs and outcomes in alignment with the project's Performance Measurement Plan (Effectiveness, Efficiency, Quality, and Timeliness) and reports regularly to the Museum Director. This position frequently requires attending and providing on-site support for workshops, school visits, and community events that occur on evenings and weekends.
Essential Functions and Responsibilities
- Coordinate day-to-day implementation of public programs, including workshops, K-12 and homeschool school visits, and public dialogue sessions, in accordance with the project's annual Schedule of Completion.
- Recruit, train, and schedule a growing volunteer and docent corps (targeting 25+ trained volunteers by the end of the grant period), including onboarding materials and ongoing volunteer support.
- Recruit, train, and schedule Piedmont University student workers.
- Provide logistical support to the ten-member Arts and Crafts Advisory Council, including scheduling meetings, preparing materials, and documenting sessions and recommendations.
- Maintain accurate attendance and demographic records using a QR-code sign-in system to track audience composition and support the project's community-attendance growth targets.
- Implement assessment instruments (e.g., pre- and post-visit surveys, evaluation tools) developed by the Museum Director, in coordination with the Project Evaluator, to evaluate workshops, school visits, and exhibitions.
- Compile quarterly progress reports for the Museum Director summarizing attendance, programming outcomes, and volunteer activity.
- Support outreach and coordination with school and homeschool partners, including Cornelia Elementary School and regional homeschool cooperatives, to schedule curriculum-connected gallery visits.
- Assist the Museum Director with the installation and de-installation of exhibitions, including logistical and space-preparation support for each year's exhibition transitions.
- Track and record museum visitors, including general attendance in addition to program-specific attendance, to support accurate reporting of overall visitorship trends.
- Train volunteers and docents on gallery procedures, visitor engagement, and program logistics, in addition to initial recruitment and onboarding.
- Assist the Museum Director and volunteers/docents in maintaining consistent, regular museum operating hours, including coordinating volunteer coverage schedules.
- Collaborate with Piedmont University Art Faculty and Piedmont University Art Education student assistants supporting the development and classroom integration of Educator Guides.
- Assist in coordinating teaching artists engaged for workshops and community programming.
- Support the development and maintenance of the project's Sustainability Playbook, documenting program activities, partner contacts, and evaluation protocols.
- Assist the Museum Director in monitoring progress toward project benchmarks, including attendance and school/homeschool outreach thresholds, and help implement course-correction steps as needed.
- Provide evening and weekend coverage for scheduled workshops, school visits, and community events as required.
- Other relevant duties as assigned in support of Interwoven: A Habersham Arts Initiative.
- Regular and predictable attendance is required.
- On-site work is required.
This position is funded through August 2029 by the Institute of Museum and Library Services (IMLS) Museums for America grant supporting Interwoven: A Habersham Arts Initiative. Continuation of this position beyond the grant period is contingent on available funding.
Typical Qualifications
Education and Experience
Bachelor's degree and experience in museum education, community programming, volunteer management, or a related nonprofit/arts administration field. Experience working with schools, community partners, or volunteer-based programs is strongly preferred.
Licenses and Certifications
Valid Georgia Driver's License (or obtained within 30 days of hire date) and satisfactory MVR.
Knowledge, Skills, and Abilities
- Ability to work productively and professionally with museum staff, university faculty and students, community partners, volunteers, and school representatives.
- Strong organizational skills with the ability to coordinate multiple concurrent programs, schedules, and volunteer assignments.
- Superior customer service and both written and verbal communication skills.
- Proficient use of Microsoft Office products and comfort learning attendance-tracking and data-collection tools (e.g., QR-code sign-in systems, survey platforms).
- Ability to maintain accurate records and documentation to support grant compliance and reporting requirements.
- Ability to collaboratively and effectively work in a diverse and inclusive environment, including with bilingual (English/Spanish) audiences.
- Strong interpersonal skills and comfort engaging directly with the public, including seniors, families, and K-12 students.

Environmental, Physical, and Visual Acuity Factors
Essential functions and responsibilities of this position are performed in an inside environmental condition, where there is protection from weather conditions but not necessarily temperature changes.
