Job description

We are looking for a highly organized, dependable, computer-savvy Administrative Assistant to join our team. This is a fast-paced, hands-on position that requires someone who can manage multiple priorities, communicate with and support several members of management, and keep day-to-day administrative operations running smoothly.
The ideal candidate is someone who takes initiative, pays attention to detail, follows through, and doesn't have to be told twice. You should be comfortable working independently while also being responsive to the needs of multiple people throughout the organization.
Key Responsibilities
- Provide administrative support to multiple members of management and staff
- Receive, organize, file, scan, upload, and maintain company documents
- Download and organize invoices and other documentation as they are received
- Assist with basic accounting and administrative record-keeping
- Track invoices, documents, and information across various software programs
- Maintain accurate digital and physical filing systems
- Upload and enter information into company software and online platforms
- Monitor multiple software systems and ensure information is current and accurate
- Manage routine administrative paperwork and documentation
- Monitor office, break room, restroom, and general facility supplies
- Maintain accurate supply inventories and recognize when items need to be reordered
- Place or coordinate orders for office and facility supplies as needed
- Ensure break room and restroom supplies are consistently stocked
- Help keep administrative areas organized and functioning efficiently
- Communicate with vendors and service providers when necessary
- Assist with scheduling, correspondence, data entry, and other general administrative tasks
- Handle confidential company information with professionalism and discretion
- Take on additional administrative duties and projects as needed

- Previous administrative, office management, bookkeeping, or accounting-support experience is preferred
Qualifications


- 2+ years of administrative or office experience preferred
- Strong proficiency with computers, email, Microsoft Office/Google Workspace, and spreadsheets
- Experience with accounting, invoicing, document management, or business software is a plus
- Ability to learn company-specific software and processes quickly
