Job description

Pitt County Schools Transportation Department

Position Title: Cost Clerk 1

Pay Grade: 61

Reports To: Business Manager

Supervises: No One

Required Skills & Abilities: Computer skills with a focus in Microsoft Excel/Google Sheets; Organizational Skills; Ability to multitask; Preferred experience with BSIP

Education & Training: Preferred  associate degree or higher in business administration/computer science/ or other similar major; Preferred 5 years experience in School Bus Transportation

Term of Employment: 12 months

Responsibilities:

  • Data Entry for the following:
    • All TD'18's - regular maintenance work preventative maintenance work, and dummy vehicle numbers for shop clean, administrative leave for mechanics only
    • Process Nonmechanical Hour forms
    • Fluid Matrix and invoices
    • Fuel Sheets - from both fuel truck drivers and from the outside pumps
    • Fuel invoices and EKOS
    • 30 Day Inspections
    • Enter new bus and service paperwork
  • Filing and maintaining the following files:
    • All TD'18's - regular maintenance work preventative maintenance work, and dummy vehicle numbers for shop clean, administrative leave for mechanics only
    • 30 Day Inspections
    • Fuel Sheets - from both fuel truck drivers and from the outside pumps
    • Pre-Trip Inspection Forms
  • Produce Business System Information Portal (BSIP) reports:
    • Monitor Open Work Order
    • Report and close out overdue work orders.
    • Non Mechanical Time Report
    • Other reports as needed
  • Process oil samples and research results.
  • Report odometer issues to Business Manager for corrective action with mechanics and NCDPI
  • Greet and assist visitors to the Transportation Department.
  • Answer a multi line phone, deliver messages, place calls.
  • Answer radio/cell phone communication systems and take appropriate action.
  • Operate office machinery.
  • Assist with Parts and Inventory as need/directed
  • Assist with physical fueling
  • Performs any other related as assigned by the Transportation Director.
