Job description

The Graduate Medical Education (GME) Project Manager leads and coordinates institutional GME projects and initiatives that support accreditation, regulatory compliance, educational programming, and operational excellence. Working collaboratively with the Designated Institutional Official (DIO), Director of GME, Program Directors, Program Coordinators, and institutional leadership, this position manages cross-functional projects, coordinates accreditation and compliance activities, oversees institutional educational events, and supports residency and fellowship program operations. The role serves as a strategic partner in advancing continuous quality improvement, quality improvement and patient safety initiatives, data-driven decision-making, and process improvement while ensuring the successful execution of institutional GME priorities and organizational goals.


Graduate Medical Education (GME) Operations & Governance:

  • Support institutional committees, task forces, initiatives, and cross-program collaboration to advance GME strategic priorities.
  • Assist the Director and DIO with institutional initiatives, policy implementation, and continuous quality improvement efforts.

Accreditation, Compliance & Regulatory Oversight:

  • Manage institutional and program compliance with ACGME, state, and organizational accreditation requirements.
  • Coordinate and prepare accreditation submissions, including ADS updates, Annual Program Evaluations (APEs), site visits, special reviews, complement changes, and new program applications.
  • Monitor compliance with case logs, leave policies, milestones, and other regulatory requirements, identifying risks and supporting corrective actions. Serve as support in duty hour compliance management.
  • Ensure consistency and accuracy of institutional data across accreditation systems and residency management platforms. 

Program Administration & Operational Support:

  • Partner with Program Directors and Program Coordinators to optimize program operations, workflows, and administrative processes.
  • Oversee resident and fellow lifecycle activities, including onboarding, orientation, transfers, graduations, final evaluations, and maintenance of trainee records. 

Program Evaluation & Continuous Quality Improvement:

  • Support programs in developing, implementing, and improving evaluation systems for residents, fellows, faculty, rotations, and educational programs.
  • Analyze program performance data and recommend strategies to enhance educational quality, compliance, and operational effectiveness.

Educational Programming & Events:

  • Plan, coordinate, and evaluate institutional GME educational programs, orientations, conferences, workshops, graduations, and special events.
  • Manage logistics including scheduling, speaker coordination, CME applications, marketing, registration, venue planning, educational materials, and program evaluation.
  • Collaborate on the development of innovative educational initiatives and revenue-generating CME programming. 

Resident/Fellow Support & Quality Improvement/Patient Safety:

  • Support trainee initiatives through collaboration with our GMEC Quality Improvement/Patient Safety committee, institutional Quality Improvement/Patient Safety committees, and clinical site leadership.

Data Management & Reporting:

  • Maintain accurate institutional databases and residency management systems to ensure data integrity and timely reporting.
  • Generate reports and analyses to support accreditation, institutional decision-making, compliance monitoring, and program improvement initiatives. 

Collaboration & Leadership:

  • Serve as a key institutional resource for Program Directors, Coordinators, faculty, and GME leadership.
  • Foster collaboration across residency and fellowship programs to promote consistency, operational excellence, and achievement of institutional GME goals.
  • Perform additional duties as assigned by the Director and Designated Institutional Official (DIO).

Education requirement:

  • Bachelor’s degree required, master’s degree strongly preferred in business administration, healthcare administration, management, education, public administration, or related eld.

Licenses or certifications:

  • TAGME certication or willingness to obtain TAGME certication when eligible.

Technical/computer skills:

  • Prociency in Microsoft Office applications (word, excel, PowerPoint), Google documents and applications; prociency in the creation of yers, brochures, handbooks, and programs; prociency in Zoom and Teams.

Prior experience:

  • Minimum 3 years of experience in higher education administration required, including experience in GME, such as serving as a program coordinator or hospital GME coordinator. Experience with ACGME ADS, NRMP, and New Innovations required.

Other skills/requirements

  • Strong written and verbal professional communication skills; ability to interface effectively with program, hospital, and school of medicine leadership and accreditation agencies; strong professional/business etiquette. Ability to work exible and extended hours as needed to address urgent program and institutional concerns and accreditation issues.

 Physical demands:

  • Ability to participate in extended and sequential meetings virtually or in- person; ability to communicate via phone, e-mail, virtual meeting, and in-person; ability to travel to conferences such as the ACGME and related meetings, as applicable.
