DEPARTMENT OVERVIEW
As part of UC Legal, the Office of the General Counsel (OGC) delivers ethical, timely, efficient and high quality legal services to the University of California's ten campuses, five medical centers, and the Lawrence Berkeley National Laboratory, as well as to the Board of Regents, the President, the Chancellors and other officers of the University. Its services include prosecuting and defending litigation, drafting and negotiating agreements, providing advice, counsel and interpretation of laws, regulations and policies, and assisting with development of effective compliance and risk mitigation strategies to facilitate the University's complex operations.
POSITION SUMMARY
The eDiscovery Coordinator, at the direction of the Senior eDiscovery Specialist, will work on a variety of tasks involving preservation, collection and production of electronically-stored information from various data sources and repositories across the UC Office of the President and UC System as a whole. The analyst should understand technical and legal processes, as well as knowledge of eDiscovery and data analytics. It is important for a candidate to have a high attention to detail, superior communication skills and the ability to successfully manage multiple complex requests and assignments all at once. The analyst will work on requests originating from multiple locations throughout the university system that vary in complexity. The analyst will also consult with responsible attorneys and staff on developing data preservation and collection strategies on a case-by-case basis.
Responsibilities
25%: In coordination with Senior eDiscovery specialist and/or campus eDiscovery and IT staff, assist with data collection tasks, included but not limited to creating searches in downloading data from Microsoft Purview, Google Vault, as well as downloading shared data from campus-based Microsoft OneDrive(s) or Google Drive(s), BOX and other cloud-based data sources. Data collection duties may also include collecting data from various types of mobile devices and instant messaging platforms, such as Slack, Teams and others. The data reviewed and searched to be produced contains confidential information including, but not limited to, medical records, student personal identifiable information as well as health information, national laboratory research grant information, procurement contracts, labor relations including from negotiators and managers for all locations and at the Office of the President relating to the various unions including communications with the union representatives, bond and other investments including public and private holdings, affiliations and acquisition negotiation and agreement documentation.
20%: Utilize internally available systems and software to assist with legal hold tasks including issuing, monitoring, updating and releasing Legal Hold notices as well as mailbox and data preservation. Assist with coordinating and sending out Access with Consent forms.
20%: Assist with the administration of the eDiscovery software including new matter intake, as well as managing, maintaining, auditing and tracking all eDiscovery tool access, which includes granting and disabling various levels of access to users based on need. Assist with monitoring and disposing of legacy matters.
15%: Coordinate, analyze and assist with litigation and other legal claims arising at the UC campuses and medical centers, including developing case strategy and other problem-solving strategies. Perform document reviews in response to subpoenas, discovery requests and California Public Records Act requests for privilege that includes using keyword and metadata (Boolean) searches and producing electronically stored information ("ESI") and paper documents utilizing eDiscovery platforms, such as Logikcull and/or Relativity platforms. Applies professional and broadly defined business analysis and data / information administration and data use concepts to manage and perform complex assignments. Independently analyzes complex information requirements and documents them using formal data definition techniques and naming standards. Gathers, analyzes, prepares and summarizes information from subject matter experts and technical personnel. Researches relevant problem-domain literature and information standards and develops recommendations for data management resource plans including approaches, trends, sources and uses.
10%: Support the Senior eDiscovery Specialist in evaluating and updating policies and procedures in areas such as proper data handling, preservations and collections as well as developing and maintaining data mapping and internal documentation. This role will serve as the primary backup to the Senior eDiscovery Specialist. Implements related business processes, develops logical data models, dimensional data models and schemas for the scope of a project or a component of a project. Develops data mapping specifications and extract-transform-load (ETL) designs. Independently designs information transformation processes. Designs and implements capture of metadata from technical processes such as software design and database management. Performs complex data management or resource research and studies for a variety of constituents and plans metadata acquisition for sets of unstructured data objects such as collections of images, documents or recordings.
10%: Communicate, coordinate, and consult with UC Legal attorneys, outside counsel, IT and vendors regarding status of matters and to ensure legal compliance.

Required Qualifications
In-depth knowledge of litigation section work flow and process requirements, along with the ability to independently identify, gather and present relevant information for projects and assignments. Provides regular notifications to and interaction with relevant individuals at UCOP Risk, campus counsel, campus risk, Sedgwick, and outside counsel.
Demonstrated proficiency in the use of MS Office Suite (Word, Excel, Access and PowerPoint), other relational databases, electronic mail, and the Internet. Experience with applications to store, retrieve, and analyze data, and generate reports.
Advanced legal and policy research, analytical/problem-solving skills in support of practice areas to assemble proofs and edits drafts of documents, such as pleadings, transactional documents, corporate governing documents, licenses, leases, assignments, etc.
Ability to independently identify, gather and present relevant information for projects and assignments
Advanced communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing.
Excellent organizational and project management skills
Proven ability to multi-task with demanding timeframes to manage chronically high activity and handle a large volume of matters, document productions and related issues requiring timely handling and assistance.
Ability to use discretion and maintain all confidentiality.
Demonstrated effective time management skills and strong attention to detail
Demonstrated ability to problem solve with ability to work independently to analyze unique issues/problems without precedent and/or structure.

Preferred Qualifications
Experience in and mastery of a significant body of legal knowledge relating to one or more legal practice areas represented within Office of General Counsel, as demonstrated by five years progressively responsible experience as a paralegal working in a commercial firm, government or educational institution.
Experience in Public Records Act and Conflict waivers, Contracts and Litigation, Business Transactions and Finance practice areas is highly preferred.
Thorough knowledge of UC processes, protocols and procedures.Familiarity with University of California organizational structure, mode of governance, policies, procedures, and regulations, and the mission of the Office of General Counsel.
Experience planning and developing data management systems and procedures.Proficiency with MS Project and project management training or certificate.
Experience with data management systems such as Counsel Link, NetDocs, eCounsel, Tableau, etc.Working knowledge of Visio.
Experience with supporting litigation hold processes, data collections utilizing Microsoft Purview and/or Google Vault, as well as data transfers using Litigation Hold platforms like Exterro, Zapproved (Legal Hold Pro) and/or others and eDiscovery platforms such as Relativity, Everlaw, DISCO, Reveal, Exterro, Casepoint, Logikcull, and others.
Education
Bachelor's degree in related field or equivalent experience and/or paralegal certification required.

SPECIAL CONDITIONS
The person hired will be required to reside within California and report to work on-site at UC's Office of the President (UCOP) located in Oakland, CA on a regular basis. Current policy requires that a new employee work on-site at least two days per week on Tuesday and Wednesdays ("anchor days"). In exceptional circumstances, approved by the General Counsel, candidates residing in or willing to relocate to California may be considered for a fully remote work arrangement.
