Job description

Position Summary: The Omnify Operations Project Coordinator is an experienced operations professional with extensive knowledge of health benefits administration, benefit tax regulations, systems research, and operational compliance. This role processes and cross-trains on all facets of Omnify Benefits, including employer and participant setup, contributions, distributions, corrections, tax reporting, invoicing, and reconciliations across HSA, FSA, LSA, HRA, and COBRA products. This professional supports system initiatives, operational workflows, and compliance-related activities, partnering closely with Relationship Management, Customer Care, and internal operations leadership to ensure accurate processing, timely execution, and adherence to regulatory and system requirements.

Essential Functions:

  • Serve as a contact for the Alegeus system inquiries. Stay informed of changes in new releases as well as upcoming enhancements and work with manager to execute changes.
  • Assist with executing Alegeus Beta testing initiatives.
  • Execute Employer set up in Alegeus for all products (HSA, FSA, LSA, HRA, COBRA).
  • Execute Employer annual renewal maintenance and Carryovers.
  • Complete ongoing Compromised Card monitoring and maintenance.
  • Assist with review and corrections for Annual Tax reporting.
  • Process tickets for Participant changes and corrections.
  • Execute Employer Updates, Corrections and Terminations.
  • Process daily and monthly files (DocuSign Enrollment, Return Mail fees, Card maintenance, Dormancy).
  • Facilitate and reconcile monthly Employer Invoicing.
  • Serve as primary Omnify contact for any ACH-related issues, including ACH returns and notifications of change; Review daily ACH activity and processes to ensure compliance with NACHA regulations.
  • Facilitate and serve as a contact regarding Employer EDI Files.
  • Assist with facilitating bulk transfers (in and out).
  • Complete monthly Reconciliation Certificate Program (RCP).
  • Assist with the development and ongoing maintenance of Omnify Operations procedures.
  • Assist with periodic mailings.
  • Complete semi-annual HSA industry reports
  • Assist Customer Care and Relationship Management Teams with system issues, research, and questions.
  • Provide back up to Customer Care with documentation, transaction processing, and ongoing support for customer issues through phone calls and on-site visits.
  • Maintain knowledge of IRS Sec 125, Pub 969, Pub 502 regulations and regulatory changes.
  • Understand and adhere to all bank policies, laws, and regulations applicable to their role. Complete compliance training: follow internal processes and controls as required.
  • Report all compliance issues, violations of law or regulations in accordance with the steps defined in bank policies.
  • Regular and reliable attendance is an essential function of this position.
  • Perform other job-related duties or special projects as assigned.

Qualifications:

  • Bachelor’s degree in Business or related field preferred.
  • Minimum 2 years banking or financial services experience preferred.
  • Strong understanding of employee benefit products, regulations, and rules preferred.
  • Proficient knowledge of Microsoft Office products, existing bank software preferred or demonstrated ability to learn quickly.
