BASIS Ed is seeking a Grant Development & Administration Specialist at our Scottsdale Central Office!
The BASIS Ed Grant Development & Administration Specialist is primarily responsible for identifying, researching, and pursuing grant funding opportunities that support the organization's strategic initiatives and the needs of its schools. This role is responsible for assisting with the preparation and submission of federal, state, local, and private grant applications, as well as evaluating grant opportunities identified by schools to determine eligibility, feasibility, and alignment with organizational priorities. Responsibilities include coordinating with the Compliance team and other internal stakeholders to gather the information necessary to prepare accurate, competitive, and timely grant applications while ensuring compliance with applicable grant requirements.
This position will also provide operational support to the Grants team during peak workload periods by assisting with grant draws, amendments, reporting, and other post-award activities to help ensure schools maximize available funding and maintain compliance with grant requirements. Experience working with IDEA Maintenance of Effort (MOE) requirements is preferred. This individual must be organized, detail oriented, have an aptitude for research, be proficient with Microsoft Office Suite applications, with an emphasis on Excel, and have experience managing projects and grant lifecycles from inception to completion. Under the supervision of the Grants Manager, this team member will interact with various departments and all levels of management in the interest of achieving strategic objectives, securing and maximizing grant funding opportunities for the schools, and embodying the BASIS Ed philosophy and its value proposition.
ESSENTIAL FUNCTIONS
Grant Development, Administration & Compliance (70%)
  • Identify, research, evaluate, and communicate federal, state, local, and private grant funding opportunities that align with the strategic priorities and operational needs of BASIS Ed and its schools.
  • Collaborate with school leadership, School Management, Finance & Accounting, Compliance, and other stakeholders to gather information necessary to prepare competitive and compliant grant applications.
  • Prepare, draft, edit, and submit grant proposals, applications, budgets, narratives, amendments and support documentation within established deadlines.
  • Evaluate grant opportunities identified by schools to determine eligibility, funding potential, compliance requirements, and alignment with organizational priorities.

Coordinate grant application timelines, deliverables, and supporting documentation to ensure accurate and timely submissions.
  • Research grant requirements, program guidance, and funding regulations to ensure applications comply with applicable federal, state, local, and private grant requirements.
  • Partner with the Finance team to oversee IDEA Maintenance of Effort (MOE) compliance, including annual calculations, monitoring expenditures, evaluating eligibility for MOE exceptions and allowable reductions, preparing required documentation, maintaining supporting records, and assisting with state reporting to ensure continued compliance with federal IDEA regulations.
  • Assist with post-award grant administration by supporting reporting requirements, amendments, budget revisions, reimbursement requests (draws), and other grant-related activities to maximize funding and maintain compliance.
  • Maintain organized grant files, application records, funding calendars, and supporting documentation to ensure audit readiness and compliance.

Grant Operations & Cross-Functional Support (30%)
  • Provide backup support to the Grants team during peak workload periods by assisting with reimbursement requests (draws), amendments, grant reporting, closeout activities, and other grant administration responsibilities to ensure schools receive and retain all available funding.
  • Collaborate regularly with the Grants, Compliance, Finance & Accounting, School Management, Legal, and other internal stakeholders to support grant development, administration, and compliance initiatives.
  • Assist with data collection, research, reporting, and process improvement initiatives that enhance the effectiveness and efficiency of the grants function.
  • Support grant monitoring activities, audits, and site reviews by coordinating documentation and responding to requests from federal, state, and local agencies.
  • Stay informed of emerging funding opportunities, legislative changes, and grant program updates that may benefit BASIS Ed schools.
  • Perform other duties as assigned.

POSITION QUALIFICATIONS
Required
Education: Bachelor's degree from an accredited college or university
Certifications and Credentials: Ability to obtain IVP Fingerprint Clearance Card within 90 days of employment and pass satisfactory applicable state background check and pre-employment background check.
Experience:
  • 1+ year in the public education sector
  • 1+ year of grant management experience
  • 1+ year managing large datasets in Excel
  • Computer Skills: Microsoft Office Suite and Microsoft Teams

Preferred
Education: Bachelor's degree in business and/or education administration
Certifications and Credentials: None ?
Experience:
  • 3+ years experience working in public charter schools
  • 3+ years experience with federal grants management
  • 3+ years experience with grant writing and programmatic compliance
  • 3+ years of Excel and managing large datasets
  • Experience working in Jira and Confluence, Intacct (Sage)
  • Experience in the following Arizona, Arkansas, Texas, Louisiana and DC.
