Executive Assistant to Founder & CEO


POSITION SUMMARY

Leo Search Partners (“Company” or “LSP”) is looking for a highly capable, solutions-oriented Executive Assistant (“EA”) to the Founder & CEO. This individual will serve as a trusted right hand to the CEO, providing traditional executive support, project management assistance for business-critical initiatives across the firm, and support on select personal and professional-network activities.


Working closely with the CEO and in coordination with the broader LSP team, this role will help drive focus, follow-through, and execution in a fast-paced executive search environment focused on commercial real estate. The EA will manage a dynamic and frequently changing schedule; organize high-touch candidate and client interactions; track and advance concurrent projects on the CEO’s behalf; and ensure the CEO’s time and attention are consistently aligned with the firm’s highest-value priorities.


The successful candidate will be highly organized, responsive, and discreet, with a strong service mindset and the ability to operate several steps ahead. This role is ideal for a driven professional who thrives in a boutique, entrepreneurial setting and is energized by supporting a high performing executive whose work spans business leadership, client development, candidate advisory, and industry thought leadership.


This hybrid position is suited for candidates based in the NYC-metro area. Occasional early morning, evening, or off-hours responsiveness may be required to support urgent matters, client needs, or travel.


COMPANY DESCRIPTION

LSP is an executive search firm in the commercial real estate industry, specializing in recruiting General Counsel, Assistant General Counsel, and Head of Asset Management roles for leading real estate owners, operators, investors, and developers. Based in New York City, LSP works with clients across major U.S. markets. The firm is recognized for its specialization at the intersection of commercial real estate and sophisticated talent acquisition practice in a highly consultative approach, and its commitment to long-term, relationship-driven partnerships with clients and candidates.


LSP operates with a small, agile team model that emphasizes integrity, discretion, industry expertise, and high-touch service. The EA will play a critical role in enabling the Founder & CEO—and, by extension, the firm—to operate at maximum effectiveness, supporting continued growth in a relationship- and reputation-driven business.


KEY RESPONSIBILITIES

Executive & Administrative Support

  • Provide comprehensive executive support to the Founder & CEO, including inbox management, complex calendar management, meeting coordination, and prioritization of time and commitments.
  • Manage the CEO’s priorities, ensuring her schedule and focus align with the firm’s most important initiatives and deadlines.
  • Schedule, confirm, and coordinate internal and external meetings for the CEO and broader team.
  • Reformat and polish resumes and candidate materials in accordance with firm standards and client expectations.
  • Handle a wide range of administrative tasks, including document preparation, filing, data entry, and basic office coordination.
  • Manage email traffic for the CEO, including drafting, reviewing, and organizing correspondence, ensuring timely responses and follow-through.
  • Coordinate travel itineraries, including flights, hotels, ground transportation, conference registration, and related logistics with detailed travel briefings.
  • Maintain organized digital and physical filing systems for documents, contacts, and key information related to clients, candidates, and firm operations.


Project Management & Business Execution

  • Serve as a project coordinator for CEO-driven initiatives spanning business development, marketing, and search execution.
  • Ad hoc support and tracking of active search projects; help ensure the CEO and broader team stay on track with next steps.
  • Coordinate and support conference and event participation, including registrations, travel, materials, and post event follow up tasks.
  • Conduct targeted research projects to support business development, search strategy, and market-mapping efforts.
  • Prepare and refine materials for client and candidate meetings (bios, briefing documents, search status summaries, interview schedules, follow-up notes, etc.).
  • Maintain and update tracking tools, CRM/ATS entries, distribution lists, relationshipmapping, and shared project lists.
  • Assist in creating and updating playbooks and checklists as needed.


Coordination, Communication & Relationship Management

  • Act as a professional, polished first point of contact for the CEO with clients, candidates, and key industry contacts, reflecting the firm’s brand and values.
  • Coordinate seamlessly across the LSP team to schedule meetings, share information, and ensure alignment on shared priorities and deliverables.
  • Draft, proofread, and edit high-quality written communications, including emails, invitations, briefings, and occasional presentations or talking points.
  • Help organize and support CEO participation in industry conferences, speaking engagements, and networking events (planning, outreach, logistics, and follow up).


Personal & Network-Related Support (CEO-Adjacent)

  • Support the CEO’s involvement in alumni networks (e.g., university programs, prior firms), including event coordination, membership renewals, and relationship touchpoints.
  • Assist with scheduling and logistics for select personal and professional network meetings, events, and commitments.
  • Coordinate occasional personal tasks related to travel, personal and professional appointments, reservations, or memberships.
  • Help the CEO stay organized across both professional and network/personal calendars, anticipating conflicts and proactively managing adjustments.


Operations, Systems & Continuous Improvement

  • Identify opportunities to streamline administrative processes, improve information flow, and enhance efficiency for the CEO and broader LSP team.
  • Ensure confidentiality and proper handling of sensitive information related to clients, candidates, contracts, compensation, and personal matters.
  • Assist with general office coordination as needed in a small-team environment.
  • Additional responsibilities and special projects as assigned.


KEY ATTRIBUTES / EXPERIENCE

  • Demonstrated experience supporting senior executives (ideally founder/owner or C-suite level) in a fast-paced environment.
  • Excellent attention to detail and follow through; accuracy and reliability are critical to success in this role.
  • Strong organizational and time management skills; able to juggle many moving pieces, independently track deadlines, and keep the CEO focused on priorities.
  • Highly effective written and verbal communication skills; able to draft polished, correspondence and communicate with confidence and professionalism.
  • Proactive, resourceful, and solutions-oriented; anticipates needs, surfaces issues early, and proposes thoughtful options rather than waiting for direction.
  • Discreet with a demonstrated ability to handle confidential and sensitive information with the highest level of integrity and judgment.
  • Strong relationship building skills; collegial, diplomatic, and poised.
  • Comfortable working in an entrepreneurial, boutique environment where responsibilities may be broad and evolve over time.
  • Tech savvy and comfortable learning new tools; strong ability to create and maintain efficient systems and processes.
  • “No task too big, no task too small” mindset; willing to flex between higher level project management and hands-on administrative tasks.


REQUIRED QUALIFICATIONS

  • Minimum 3+ years of experience in an executive assistant or senior administrative support role; experience supporting a C-suite executive strongly preferred.
  • Prior exposure to executive search, legal, commercial real estate, investment management, or related professional services environments is highly preferred.
  • Bachelor’s degree (earned or actively in pursuit of) or equivalent experience demonstrating advanced administrative and project management capabilities.
  • Advanced proficiency in Microsoft Office; familiarity with CRM systems, virtual meeting platforms (Zoom/Teams), and cloud-based document management.
