In this role, you will help shape the efficiency and success of Duke Dining through strong coordination, system support, and operational excellence. From managing administrative workflows to supporting CBord systems and financial processes, you will bring organization, attention to detail, and innovation to a dynamic environment.

What You'll Do:

Administrative Operations & Office Coordination

  • Coordinate day-to-day administrative operations supporting Dining Services programs and leadership
  • Maintain departmental records, calendars, and documentation for accuracy and efficiency
  • Track employee attendance, maintain vacation calendars, and manage employee data updates
  • Prepare and monitor maintenance and repair work orders

Procurement, Purchasing & Financial Support

  • Process procurement card (PCard) transactions and ensure compliance with university policies
  • Support budget tracking and recommend purchasing needs
  • Manage ordering of office supplies and safety equipment
  • Coordinate recurring food transfer processes, including Trinity Cafe and kosher transfers
  • Partner with operational teams to ensure accurate and timely financial documentation

Systems & CBord Support

  • Maintain department-specific systems to support operational continuity and reporting
  • Serve as backup support for CBord system operations
  • Execute routine CBord tasks and collaborate with staff on system workflows

Communications, Signage & Calendars

  • Design and produce signage for daily operations and special events
  • Maintain board plan and hours-of-operation calendars
  • Develop clear and engaging communication tools to enhance service delivery

HR & Staffing Administration

  • Support hiring processes, including job postings and offer letter preparation
  • Maintain employee records and ensure accuracy of HR documentation

Coordination, Reporting & Partnerships

  • Collaborate with internal departments to support program objectives
  • Compile operational data and assist with reporting and analysis
  • Track temporary labor to support reconciliation and workforce planning

Additional Responsibilities

  • Contribute to departmental goals and take on additional responsibilities as needed

What You Bring:

Required Qualifications

  • Education/Training
    Work requires the ability to provide supervisory coverage to food service functions generally equivalent to a high school education.
  • Experience
    Work requires three years of experience in food and beverage service.

Preferred Qualifications

  • Experience with menu management systems (e.g., CBord)
  • Background in catering, dining, or hospitality operations
  • Proficiency in Microsoft Word and Excel
  • ServSafe and Allergen Certification (or ability to obtain within 60 days)

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $18.00 to USD $24.57.
