Office Coordinator – Direct Hire
Location – Wilmington, DE
Schedule: Full Time
Experience Level: Mid-Level to Senior
Industry: Funeral Services / Operations Management
Compensation:
• Mid-level (3–6 years): $42,000 – $50,000 ($20–$24/hr)
• Senior (6+ years): $50,000 – $58,000 ($24–$28/hr)
Primary Responsibilities
Operational & Case Coordination
• Manage multiple funeral cases simultaneously from intake through final completion
• Coordinate timelines, scheduling, transportation, visitations, and service logistics
• Track deadlines, pending tasks, and case progress to ensure timely completion
• Proactively identify delays, operational gaps, and workflow inefficiencies
• Maintain clear communication between families, staff, vendors, and external partners
Documentation & Compliance
• Maintain accurate and complete case records and documentation
• Process death certificates, permits, insurance assignments, cremation authorizations, military paperwork, and financial records
• Audit files for accuracy, completeness, and regulatory compliance
• Handle confidential and sensitive information with professionalism and discretion
Leadership & Process Improvement
• Create and improve workflows, SOPs, and office procedures
• Support staff training and operational consistency
• Demonstrate ownership, accountability, and strong problem-solving skills
• Assist leadership in improving efficiency and scalable office operations
Qualifications
Required:
• 3+ years of experience in operations coordination, office management, project coordination, logistics, or related fields
• Proven ability to manage multiple priorities in fast-paced environments
• Strong organizational, communication, and time management skills
• High attention to detail and exceptional follow-through
• Professionalism, emotional intelligence, and sound judgment
• Comfortable working in a funeral service environment, including proximity to the deceased
Preferred:
• Experience in funeral services, healthcare, hospitality, legal operations, or regulated industries
