POSITION SUMMARY

The Administrative Specialist provides administrative, technical, or analytical support functions for South Platte Renew (SPR). This includes but is not limited to executing the SPR visitor management program; providing excellent customer service to internal and external customers; preparing communications, materials, and correspondence; conducting administrative projects; scheduling and coordinating meetings; overseeing administrative functions; and managing office equipment and supplies.
The Administrative Specialist also performs clerical tasks, maintains calendars and schedules, organizes events, meetings, and trainings, and assists SPR divisions, managers, and Leadership Team. This position must be comfortable using various computer software programs, including but not limited to Microsoft 365, Adobe Acrobat, Tyler New World, Canva, DocuSign, and others.
This position is located at South Platte Renew.

REPORTING RELATIONSHIPSReports to:ย ย Business Solutions SupervisorDirect Reports: NoneKEY RESPONSIBILITIES
  • Visitor Management: Oversees visitor management program, providing excellent customer service to internal and external customers.
  • Office Management: Orders and maintains office and other departmental supplies/equipment for the entire organization and performs ongoing evaluation of office operations to ensure that administrative support functions are efficient, cost effective, and provides a high level of service.
  • Planning & Coordination: Organizes, plans, and executes SPR events, trainings, and meetings. Maintains calendars and work schedules for workgroups and individuals. Coordinates and schedules the use of City and department facilities and equipment.
  • Communications: Writes, edits, and designs communications and marketing materials, such as presentations, reports, newsletters, and internal announcements.
  • Procurement & Budgeting: Purchasing goods and services to support division functions and processing pay apps and invoices.
  • Administrative Programs: Oversees key business programs, which may include the Employee Transition Program, Executive Management Support, Organizational Training, Uniform Program, WIFIA Compliance, and Travel Program.
  • Special Projects: Supports administrative projects through procurement, coordination, document management, and reporting efforts. Supports strategic initiatives and organizational development efforts as assigned.

QUALIFICATIONS

Education, License, Certification, and Work Experience:

  • Education: High School diploma or equivalent.
  • Work Experience: Minimum of 3 years of administrative experience. 1-3 years customer service experience highly desirable.
  • Certifications and/or Licensures: Notary Certificate preferred or ability to obtain within six months of hire.
  • Required Driverโ€™s License: Valid Colorado driverโ€™s license and a clear or acceptable MVR.

*An equivalent combination of education, training and relevant job experience may be substituted.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Work is performed in a standard office environment, requiring sitting for extended periods of time, and occasional medium lifting (up to 30 lbs.).ย  Job requires visual and physical capabilities to perform data entry, filing, and to work on computers and associated equipment for prolonged periods of time (5-7 hours daily).
