Job description

We are seeking a highly organized, detail-oriented individual with a sense of urgency to join our team as a Document & Mailroom Coordinator. In this role, you will manage mailroom operations, document processing, and vendor relationships to keep our business running efficiently.

Key Responsibilities

Mailroom Operations

  • Manage all incoming and outgoing mail and packages, including courier deliveries and pick-ups
  • Prepare and process outgoing mail and assist with returned or unclaimed mail

Document Management

  • Collect, sort, prepare, and scan documents
  • Label and enter documents into the system, ensuring accuracy and quality
  • Perform post-scanning quality checks and file original records
  • Secure and properly dispose of confidential documents

Financial Support

  • Print and scan checks for deposit for Escrow and Commission teams
  • Print Garnishment and SEP checks.

Vendor & Inventory Management

  • Maintain relationships with courier services (UPS, USPS, FedEx)
  • Track mail and UPS invoicing using Excel
  • Order and maintain office supplies and stockroom inventory
  • Replace toner in printers and copiers and manage service requests with equipment vendors

Other Duties

  • Provide coverage for other business service functions as needed
  • Maintain a clean desk policy and secure environment

Qualifications

  • High School diploma required
  • 1-2 years of experience in a similar role
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams)
  • Ability to learn new software quickly
  • Strong organizational and communication skills with keen attention to detail
  • Comfortable with light physical activity, including lifting to 25 lbs. occasionally
  • Regular, predictable attendance is essential
  • Positive attitude and commitment to delivering premier service
