Job Summary
Job Description
Budget and Finance
  • Assist the Dean's Office in preparation and submission of the College's annual budget;
  • Support management of general fund and restricted accounts, including expenditures and budget tracking;
  • Review electronic and hardcopy submissions from departments for accuracy prior to approval routing;
  • Maintain financial tracking spreadsheets and databases;
  • Assist with grant and contract budget preparation and tracking;
  • Serve as liaison with Business Affairs, Academic Affairs, Bursar Operations, General Accounting, and Sponsored Programs on routine matters;
  • Ensure adherence and compliance with University, System, and State policies;
  • Assist in development and preparation of financial reports for leadership;
  • Support summer budget development and revenue/expense tracking.

Personnel Management
  • Serve as liaison with Human Resources, Academic Affairs, and Finance on personnel processes;
  • Review personnel action forms for accuracy prior to submission for approval;
  • Assist in tracking faculty, staff, and student employee hiring;
  • Process graduate assistant and student worker appointments as needed;
  • Maintain personnel records and related documentation in the college office.

Administration and Support
  • Assist with office equipment and supply management;
  • Collaborate with administrative staff to maintain effective record retention and document processing practices;
  • Support inventory and purchasing of office supplies;
  • Provide basic training and guidance to faculty and staff on university business processes;
  • Assist with travel/ensuring travel compliance/keep up to date with changing state and university policies regarding travel; booking travel for external committee members, students, as needed
  • Maintain endowment/professorship databases, review/submit endowment/professorship purchases, travel expenses, supplemental pay, etc.
  • Assist with foundation payment processing, foundation scholarship/award submissions and expenditure tracking
  • Assist with onboarding support for new employees as needed;
  • Other duties as assigned by the Dean.

Required Qualifications
  • Bachelor's degree in business, finance, public administration, or related field plus at least two (2) years of relevant experience;
  • Strong organizational, analytical, and communication skills;
  • Proficiency in Microsoft Office Suite, particularly Excel.

Desired Qualifications
  • Advanced degree;
  • Familiarity with higher education budgeting or personnel process;
  • Experience with Workday or similar systems;
  • Knowledge of Louisiana state or university financial policies;
  • Experience supporting budget development or HR processes.
