M-TH 7A-5P (4X10 SCHEDULE)

MAX RATE: $25HR


Position Summary

We are seeking a highly organized, proactive, and detail-oriented Administrative Coordinator / Document Management Specialist to provide administrative and operational support to a large organization of approximately 100 employees. This role supports multiple leaders, staff members, and operations personnel while serving as a key resource for document management, digital tools, and office administration activities.

The ideal candidate is a self-starter who thrives in a fast-paced environment, can effectively manage competing priorities, and demonstrates excellent communication, relationship-building, and problem-solving skills. This position plays a critical role in supporting business operations, maintaining document management systems, coordinating administrative processes, and assisting employees with digital tools and technology.

Key Responsibilities

Administrative Support

  • Provide professional administrative support to multiple leaders, teams, and operational personnel.
  • Manage complex calendars, scheduling conflicts, and meeting logistics.
  • Coordinate meetings, workshops, training sessions, and department events.
  • Reserve conference rooms, arrange catering, and support visitor management processes.
  • Prepare meeting agendas, capture notes, and summarize key decisions and action items.
  • Assist with special projects and department initiatives as assigned.
  • Support office administration activities and ensure efficient day-to-day operations.

Document Management & SharePoint Administration

  • Develop, implement, maintain, and improve electronic and hardcopy document management systems.
  • Coordinate the full document lifecycle, including document creation, organization, review, retention, ownership, and archiving.
  • Maintain and support SharePoint sites, file-sharing repositories, and digital documentation processes.
  • Communicate document management standards, procedures, and best practices to stakeholders.
  • Partner with document owners and business teams to ensure compliance with document control requirements.
  • Manage file-share permissions and access controls.
  • Support document reviews, updates, revisions, and new document creation initiatives.

Digital Tools & Technology Support

  • Serve as a point of contact for digital tools and digital transformation initiatives.
  • Provide basic technical support for employees, including connectivity and system-related issues.
  • Assist with troubleshooting and escalate complex technology issues to appropriate support teams.
  • Manage company tablets, chargers, and related equipment inventory.
  • Support adoption of collaboration tools and digital business processes.
  • Stay current with new technologies and administrative systems and share knowledge across teams.

Operations & Business Support

  • Process purchasing requests and coordinate office supply procurement.
  • Support expense reporting and reimbursement processes.
  • Maintain records, reports, and administrative documentation.
  • Monitor administrative workflows and identify opportunities for efficiency improvements.
  • Support compliance with company policies, procedures, and business conduct requirements.
  • Promote a culture of safety, teamwork, accountability, and continuous improvement.

Team Collaboration

  • Build effective working relationships across departments and levels of the organization.
  • Communicate professionally with internal and external stakeholders.
  • Support an inclusive and collaborative work environment.

Required Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 3+ years of administrative support experience, preferably supporting multiple leaders or large teams.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to work independently with minimal supervision.
  • Strong attention to detail and commitment to accuracy.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience managing calendars, meetings, travel arrangements, and administrative processes.
  • Strong problem-solving skills and customer-service mindset.

  • Experience with SharePoint administration and document management systems.

Work Schedule

  • Full-time, 40 hours per week
  • Four-day workweek (Monday through Thursday)
  • Preferred start time: Approximately 7:00 AM
  • Fridays and weekends off
