Job description

Martin Construction is a growing residential excavation contractor looking for an Administrative & Operations Assistant to join our team.ย ย This is an excellent opportunity for someone who wants to learn how a construction business operates from the inside out. We are not looking for someone who already knows everything-we're looking for someone who is organized, dependable, eager to learn, and willing to jump in wherever help is needed.

In this role, you'll work closely with company leadership, project coordinators, field supervisors, customers, builders, and vendors. You'll gain hands-on experience in scheduling, dispatch, utility locates, accounts payable, project coordination, customer communication, and day-to-day business operations.

No two days are exactly the same. One day you may be processing invoices, the next helping coordinate utility locates, supporting scheduling efforts, assisting with project documentation, or helping solve a problem that keeps a project moving forward.

What You'll Do

Administrative Support

  • Maintain project files and company records
  • Perform data entry and document management
  • Assist with reporting, spreadsheets, and operational tracking

Accounts Payable & Office Administration

  • Process vendor invoices and supporting documentation
  • Maintain organized records and filing systems
  • Assist with accounts payable and office bookkeeping tasks
  • Support payroll preparation and administrative reporting as needed

Utility Locate Coordination

  • Submit utility locate requests
  • Track locate completion and expiration dates
  • Coordinate re-locates when needed
  • Help ensure projects are ready before crews are dispatched

Scheduling & Dispatch Support

  • Assist with daily crew scheduling and dispatch coordination
  • Help communicate schedule updates and changes
  • Support production planning and project readiness tracking
  • Coordinate information between office staff and field crews

Operations & Project Support

  • Assist Project Coordinators and company leadership with daily operations
  • Help track project progress and documentation
  • Coordinate deliveries, permits, and supporting project information
  • Support special projects and process improvements
  • Help wherever needed to keep projects and operations moving smoothly
