Job description

Ensuring Chart's Success...

Chart is currently seeking a Document Control Specialist to work under the supervision of the Document Control Supervisor. This position will ensure timely delivery of project deliverables to internal and external parties for air cooled heat exchangers, and provide input towards development and ultimate implementation of department Work Instructions and Procedures by utilizing known industry best practices for Document/Records Management.

What Will You Do?

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

   Interface with Design, Engineering, and Project Management to efficiently submit documents to internal and external parties
   Ability to read and understand job related documents and procedures such as drawings, customer specifications, and POs
   Perform non-technical quality check of project documents and drawings ensure accuracy as prescribed in project requirements as well as internal standards
   Timely distribution of latest revision level electronic documentation to appropriate recipients, both internal and external to ensure obsolete documentation is unavailable
   Prepare and distribute project Instruction Manual per project requirements
   Collect data and compile Heat Exchanger Record Books containing manufacturing records for submission to clients per company's and ASME standards
   Maintain database of all project documentation for traceability and reporting
   Prepare and maintain complete project documentation and ensure compliance to internal and external standards as assigned
   Process electronic packages from customers and distribute to applicable parties
   Participate in creation and development of Document Control Procedures, Work Instructions, and Company Standards

Prepare IOMs, Databooks, communicate with customers and maintain JDE dates.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands; and reach with hands and arms.

   Mostly Indoor Office Environment
   Some Outdoor/Shop Environment

REQUIRED PERSONAL PROTECTIVE EQUIPMENT (PPE) WHILE IN THE SHOPS:
   Safety Glasses
   Steel Toe Shoes (when needed)
   Ear Plugs (when needed)
   Gloves (when needed)
   Face Shield (when needed)
   Tyvek Coveralls (optional)
   Sports Belt (optional)

Your Experience Should Be...

Minimum Education:
Associates Degree* preferred. HS diploma required.

Minimum Experience:
2 years Document Control
Experience at Chart Industries or equivalent will be an advantage
*An additional 2 years of applicable experience for Engineering Technology/Terminology Certificate or Equivalent can in lieu of the Associates Degree.

Skills Required (i.e. certifications, licenses, registrations, etc.):
   Knowledge of ISO9001 and API practices
   Good interpersonal and communication skills are required.

REQUIREMENTS - MUST BE ABLE TO DO THE FOLLOWING:

   Proficient in MS Office Suite (Word, Excel, PowerPoint) 
   Adept in Adobe Acrobat: editing and creation
   Excellent written and verbal communication skills 
   Experience with EDMS systems (preferably Autodesk Vault, Flatter Files)
   Must be creative, have a strong attention to detail, must be organized, self-motivated and able to multi-task.
   Ability to prioritize work to meet schedule requirements of assignments
   Capable to solve problems and make decisions quickly and efficiently 
   Possess outstanding time management and organizational skills 
   Ability to work under pressure and meet deadlines
