Job description

Clayton Services is searching for a Document Control Specialist to join a thriving company in the North Houston area. The Document Control Specialist will support customer order processing, documentation management, purchasing activities, and cross-functional operations by ensuring accurate records, timely communication, and organized documentation throughout the order lifecycle.


Job Type: Temp-to-Hire

Pay Rate: $20.00-$25.00/hour

Document Control Specialist Responsibilities:

  • Coordinate documentation throughout the order lifecycle, from order entry through production and shipment.
  • Review customer orders to verify pricing, specifications, and documentation requirements.
  • Create, maintain, and organize job files, project documentation, and internal records to ensure accuracy and accessibility.
  • Prepare, assemble, submit, and track customer documentation packages while ensuring compliance with customer requirements.
  • Track and maintain vendor documentation, technical drawings, parts lists, and production records for completeness and accuracy.
  • Prepare Installation, Operation, and Maintenance (IOM) manuals and other required closeout documentation for customer delivery.
  • Communicate shipment notifications and respond to customer requests for documentation and order-related information.
  • Maintain equipment logs, reporting schedules, and documentation databases to ensure records remain current.
  • Support purchasing activities by issuing purchase orders and reviewing material requirements.
  • Collaborate with cross-functional teams to support customer orders, documentation needs, and project timelines.
  • Identify opportunities to improve documentation processes, templates, and filing systems.
  • Perform other duties as assigned.


Document Control Specialist Skills and Abilities:

  • Strong written and verbal communication skills with the ability to interact professionally across departments and with customers
  • Exceptional attention to detail and accuracy when handling technical and order-related documentation
  • Highly organized with the ability to manage multiple projects, files, and deadlines simultaneously
  • Comfortable working in fast-paced, deadline-driven environments
  • Demonstrates sound judgment, discretion, and confidentiality when handling sensitive information
  • Ability to identify inconsistencies, troubleshoot documentation issues, and recommend solutions
  • Capable of working independently while also collaborating effectively with cross-functional teams
  • Proficient in Microsoft Office and common document management tools
  • Adaptable and receptive to process improvements and system changes


Document Control Specialist Education and Experience:

  • High school diploma or equivalent preferred
  • Previous document control, administrative, or operations support experience is required
