Location: 275 Promenade Street, Suite 150, Providence, Rhode Island
Department: CI
Position Type: Full-Time
ATANE Engineers, P.C. is seeking an energetic individual for an Administrative Assistant position in Providence, RI. The candidate will serve mainly as a Document Control Specialist to manage, store, and track records and documents for government agencies, construction, and engineering firms. The candidate must be detail-oriented and a self-starter.
Duties and responsibilities
  • Performs administrative duties in support of Construction Project Administration.
  • Performs document collection, entry, distribution and follow up procedures as required.
  • Communicates document requirements and client standards to the construction project team.
  • Able to input, analyze and process inspection data into various software platforms and/or databases
  • Verify completeness and accuracy of incoming and outgoing documents and ensure appropriate file formatting and storage.
  • Assures responses to submittals, RFIs and RFCs are completed in a timely manner.
  • Tracks outstanding document responses by Ball-in-Court and provides daily updates.
  • Attend project meetings and prepare minutes for distribution.
  • Work as a Team player, adept at working cooperatively with coworkers, managers and other offices.

Qualifications
  • Organized work habits and ability to multi-task required.
  • Excellent knowledge of general office equipment and skills, especially filing and typing.
  • Good communication skills, oral and written.
  • Proficient in use of common Document Control software such as MS SharePoint or similar.
  • Strong PC skills. Proficient in MS Office applications.
  • Excellent command of written English.
  • The ability to understand general construction and engineering documents is a plus.

Education
  • High School Diploma or equivalent required. Associate degree or higher preferred.
  • 2 years of previous document control experience in an engineering, construction, or technical office preferred.

Compensation:
The pay range for this position is $25.00-$38.00 per hour. Actual compensation will be determined based on job related factors including but not limited to experience, certifications, education, geographic location, shift requirements, internal equity and business need, in accordance with applicable state and local pay transparency laws.
