Job description

O'Hagan Meyer is seeking a full-time Docket Specialist to join its Los Angeles, CA office. We are looking for candidates that have an eye for detail, resourceful, and care about the little things. Candidates will have 4-6 years of docketing experience and background in docketing or litigation support and administration. Must possess professional communication skills (written, verbal and interpersonal) and can follow procedures and ask questions when unsure. A paralegal certificate or other legal education is a plus. 

The Docket Specialist will be responsible for calendaring court dates, deadline tracking and docketing maintenance across multiple jurisdictions. The Docket Specialist also provides timely reports of response dates on a regular basis and works on specific projects and research assignments.  

Requirements

Primary Duties Include but are not limited to: 

       Perform litigation docketing for state, federal, appellate, bankruptcy, and administrative matters.

       Independently analyze pleadings and determine all applicable deadlines without supervision.

       Calculate deadlines involving multiple service methods, continuances, stipulations, and jurisdiction-specific rules.

       Review and interpret court orders to determine calendaring deadlines/impact.

       Monitor court queue for updates requiring immediate action.

       Research procedural rules, statutes, and local court rules when deadlines are unclear.

       Manage high-volume docket requests while maintaining exceptional accuracy.

       Perform quality control review of docket entries created by junior staff.

       Identify and correct calendaring discrepancies before deadlines are missed.

       Serve as a subject matter expert for attorneys and legal staff.

       Provide guidance on court rules and procedural deadlines.

       Coordinate with attorneys, legal assistants, paralegals, and litigation teams regarding procedural issues.

       Handle expedited and high-priority ("RUSH") docket requests.

       Process complex case transfers, consolidations, removals, remands, appeals, and related proceedings.

       Maintain accurate case records and docket history.

       Assist with training and mentoring Docket Clerks.

       Participate in testing and implementation of new docketing software or system enhancements.

       Assist with updating departmental procedures and training materials.

       Participate in department projects, workflow improvements, and quality initiatives.

       Cross-train to support multiple jurisdictions and offices (e.g., trademark, IP, federal court nationwide).

       Stay current on rule changes affecting litigation deadlines.

       Prepare reports and deadline summaries.

Ideal candidate should have a very strong understanding of the litigation process as well as Federal, State and Local court rules and procedures, excellent computer skills with knowledge of Adobe Acrobat, MS Excel, and MS Office, including Outlook; excellent oral and written communication skills; exceptional attention to detail; able to work independently as well as with the team; Working well as a team in a congenial office; exceptional organizational skills. Experience with CourtAlert or other docketing programs is a plus. Strong attention to detail, organizational skills, and time management.
